The hard part is making them happen — daily, weekly, across every project and team. That's the gap this role was built to close. As Execution Coordinator, you'll sit at the center of a company building some of the most exciting AI technology in retail and operations. You'll work directly with leadership and cross-functional teams to keep projects on track, communication flowing, and the entire operation running on time. Part project coordinator, part operations driver, part creative problem-solver — you're the glue that holds the moving pieces together and the person who makes sure great strategy turns into shipped products. What You'll Do Drive Execution Across the Company Own project tracking across multiple products and initiatives — deadlines, owners, status, blockers Maintain task boards, trackers, and workflow systems in Notion and keep them sharp Keep teams aligned and accountable on deliverables without letting anything slip Spot problems early and surface them before they become fires Be the Connective Tissue Organize meetings with tight agendas and clear action items — then make sure follow-ups actually happen Translate leadership priorities into actionable weekly plans the team can execute against Bridge the gap between product, operations, analytics, and content so nothing gets lost in the handoff Be the person everyone trusts to keep the trains running on time Learn the Platform, Improve the Process Get up to speed quickly on XQai's products (Lighthouse, LvlUp, Vista, Spotlight) and how they work together Help the team adopt and use systems effectively — and improve them as we scale Keep documentation organized, current, and actually useful Find process gaps and close them before anyone has to ask Support Creative and Digital Workflows Help produce presentations, internal materials, and visual assets Work with AI tools and creative platforms to support content production Assist with audio/video content, screen recordings, or marketing materials Jump into digital marketing or content initiatives when the team needs support Who You Are You're the type of person who thrives when things are organized — and struggles when they're not. You don't just tolerate structure; you create it. When a room is chaotic, you're the one building the system that makes it run. When a project has ten moving pieces, you're the one who knows where every piece is. You want to be at the center of a growing company that's playing in exciting verticals with technology that actually changes how businesses operate. Bachelor's Degree (or graduating soon) in STEM, Business, Marketing, Digital Media, or a related field Exceptionally organized and detail-oriented — you track things other people forget exist Known for reliability and follow-through; when you say it's handled, it's handled Comfortable managing multiple priorities simultaneously without losing the thread A fast learner with new software, tools, and platforms Strong communicator who asks smart questions and keeps people informed Curious about AI, technology, and how the right systems can make teams perform better Energized by helping a team execute, not just doing your own tasks in isolation Bonus Points You already use AI tools like Claude, ChatGPT, or other generative AI platforms in your daily workflow You've worked in Notion, or you're the type who would teach yourself Notion over a weekend because it looked interesting Exposure to creative tools — Adobe, Canva, Figma, or AI design platforms Interest in operations, product management, or building a career at the intersection of AI and business Internship or early experience in project coordination, ops, or analytics Work Environment Hybrid — a mix of remote work and in-person collaboration as needed Minimal travel Why XQai XQai is built for companies who set the bar high and raise it again tomorrow.
