Position Summary The Coordinator II, Project Implementation role exists to support the effective planning, coordination, documentation, and execution of Innovation & Implementation initiatives across the organization. This position focuses on the administrative, operational, and coordination tasks required to enable successful project delivery, allowing Specialist and Manager roles to focus on solution design, analysis, and change leadership. The Coordinator contributes to the organization by ensuring projects are organized, scheduled, documented, funded, communicated, and tracked accurately, resulting in disciplined project execution, minimized risk, and consistent implementation across pilot and rollout environments. This is a hybrid role, with 3-day in-office requirement at our Carlisle, PA Support Center Essential Functions
  • Coordinate project setup and execution activities by creating and maintaining project plans, timelines, task lists, and documentation using standard project management tools and templates, ensuring projects are organized, visible, and executed according to plan.
This includes partnership with ADUSA One Tech to support deployment initiatives that support our stores, fuel stations, and other facilities.
  • Issue and manage Purchase Orders (POs) and project-related financial documentation by partnering with Finance, Procurement, and project owners to ensure accurate setup, tracking, and reconciliation of project costs, enabling budget compliance and financial transparency.
  • Support end-to-end project administration by scheduling meetings, preparing agendas, documenting decisions, capturing action items, and following up on deliverables to ensure momentum, accountability, and clear communication among stakeholders.
  • Track and report project status, milestones, and risks by maintaining logs, dashboards, and reports, providing leadership and project teams with accurate visibility into progress and issues that could impact timelines or outcomes.
  • Prepare and maintain project documentation and reference materials including project charters, rollout plans, communication summaries, training coordination materials, and standard work documents to support consistent execution and knowledge transfer.
  • Coordinate implementation logistics such as deployment schedules, training support activities, installation timing, and stakeholder readiness tasks, ensuring smooth pilot and full-scale rollouts with minimal disruption to operations.
  • Serve as a coordination point of contact for cross-functional partners by managing inputs from Operations, IT, Merchandising, Marketing, Finance, and external vendors, ensuring information is organized and communicated efficiently to the project team.
  • Support communication planning and execution by assisting with drafting, organizing, and distributing project communications, updates, and reference materials to ensure stakeholders receive clear, timely, and accurate information.
  • Maintain project records and governance standards by organizing files, maintaining SharePoint or similar repositories, tracking approvals, and ensuring materials align with established project management and documentation standards.
  • Perform additional implementation and administrative support tasks as assigned to balance workload, cover peak project periods, and support the overall objectives of the innovation & implementation team. Knowledge Working knowledge of project coordination and implementation concepts (LEAN Six Sigma, ADKAR)
  • Familiarity with basic project management principles (timelines, milestones, dependencies)
  • Understanding of Purchase Order processes, invoicing, and financial tracking
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, MS Planner, PowerBI)
  • Experience working with document management systems (ex: SharePoint)
  • Exposure to retail, operations, or multi-site environments preferred Skills

  • 1-3 years of experience in project coordination, administrative support, operations support, or a related role
