Engineering Project Coordinator Location:

Celtic Engineering, Inc. provides structural and mechanical engineering for the entertainment, hospitality, and aerospace industries, and is hiring an Engineering Project Coordinator for our Orlando, FL office. The Engineering Project Coordinator supports Engineering Project Managers across active projects, with responsibility for keeping work organized, on schedule, and aligned with project requirements. You'll manage documentation, coordinate communications, and be the person engineers and project managers rely on to keep the work organized, the communication clear, and the commitments tracked. This role operates in a dynamic, multi-project engineering environment requiring strong organization, follow-through, and proactive communication skills. This role provides growth opportunities within engineering project management and operations. What You'll Do Maintain project documentation, records, and files across multiple active engineering projects. Track submittals, RFIs, Action Items, and project deliverables, and keep logs current and accessible. Monitor and maintain project schedules and flag milestone risks to the responsible project manager.
Setup and Coordinate meetings:
logistics, agendas, action items, minutes/notes, and follow-through. Prepare and distribute project correspondence, status reports, and summaries. Support preparation of proposals, invoices, and project documentation. Serve as a point of contact for routine client and consultant communications under the direction of the project manager. Ensure project archives are organized in accordance with company standards. Follow up with engineers, vendors, and project stakeholders to ensure action items, deadlines, and deliverables remain on track/schedule. Assist with coordination across mechanical, structural, electrical, fabrication, and installation activities as required by project needs. Occasional travel may be required to project sites, fabrication shops, installations, and client coordination meetings in support of engineering programs worldwide. What You'll Bring Experience in a project coordination, administrative, or office operations role. Engineering or construction or manufacturing environment experience is a plus but not required. Strong organizational skills and the ability to manage multiple priorities simultaneously. Clear, professional written and verbal communication. English language fluency required. Comfortable working directly with technical staff and clients in a professional setting. Attention to detail and ability to proactively identify schedule, communication, or documentation gaps. Ability to work effectively in a deadline-driven engineering and project environment. Education Bachelor's degree in Business Administration, Construction Management, Engineering, or a related field preferred. Associate degree with relevant work experience considered. PMP (Project Management Professional) or CAPM (Certified Associate in Project Management) or similar certification a plus. $60,000.00 - $75,000.00 per year
