Exempt Job Summary:
The Permitting Coordinator supports the successful execution of natural gas utility construction projects by securing required permits, maintaining regulatory documentation, and coordinating with internal teams and government agencies. This role focuses on preparing, submitting, and tracking permit applications; organizing compliance records; and ensuring timely communication between permitting authorities and project teams. The Permitting Coordinator plays a key role in aligning permitting timelines with construction schedules to support efficient project delivery.
Key Responsibilities:
Permitting Administration & Documentation
  • Prepare, submit, and track permit applications to municipalities, state agencies, environmental authorities, and utility commissions.
  • Maintain and organize permitting documentation, including applications, approvals, renewals, and regulatory correspondence.
  • Track permit expiration dates, conditions, and compliance requirements to ensure ongoing regulatory adherence.
  • Ensure permitting files, logs, and databases are accurate, current, and accessible to project and construction teams. Interdepartmental Coordination
  • Facilitate the exchange of permitting information between engineering, construction, land/ROW, environmental, and project management teams.
  • Monitor and follow up on pending permit approvals, revisions, and required submittals.
  • Coordinate communication with contractors and internal teams regarding permitting requirements, restrictions, and timelines. Regulatory & Agency Interface
  • Serve as a point of contact with permitting authorities to clarify requirements, respond to inquiries, and support inspections or site visits.
  • Research local, state, and federal permitting regulations applicable to natural gas distribution projects.
  • Support resolution of minor permitting issues, discrepancies, or compliance concerns. Project Support
  • Assist project managers and leadership with permitting schedules, status updates, and reporting.
  • Help prepare documentation for regulatory filings, environmental submissions, and compliance audits.
  • Support coordination of field activities that require permit-related notifications, inspections, or approvals. Reporting & Communication
  • Generate regular permitting status reports for leadership review.
  • Maintain dashboards, trackers, and permitting management tools to provide visibility into application progress and outstanding requirements.
  • Serve as a point of contact for internal teams regarding permit-related data and updates.
Qualifications:
Education & Experience
  • High School Diploma or GED required.
  • Associate's or Bachelor's degree in Environmental Science, Engineering Technology, Construction Management, Public Administration, or a related field preferred.
  • 1-3 years of experience in permitting, regulatory compliance, construction administration, or utility project coordination preferred. Skills & Competencies
  • Strong organizational skills with the ability to manage multiple permits and deadlines.
  • Proficiency with Microsoft Office Suite; familiarity with permitting or project management software a plus.
  • Excellent attention to detail and ability to maintain accurate regulatory records.
  • Strong written and verbal communication skills for interdepartmental and agency coordination.
  • Ability to interpret permitting requirements, regulations, and technical documents. Other Requirements
  • Valid Texas driver's license; occasional in-state travel may be required.
  • Ability to work collaboratively in a fast-paced, deadline-driven environment. Physical Requirements
  • Frequent use of computers and office equipment.
  • Occasional standing, walking, and site visits on uneven terrain.
  • Ability to wear required PPE when visiting active construction sites.
