Working under the direction of the Business Unit Head or Project Manager, this position focuses on project planning, coordination, documentation, and communication. It offers an excellent opportunity for professional growth and development within the organization. Job Functions & Responsibilities Project planning and coordination: Work closely with the Project Manager to assist in defining project scope, developing project plans, and coordinating daily project activities.
Documentation and reporting:
Maintain comprehensive project documentation, including meeting notes, progress updates, and schedules. Ensure timely submission of project reports and milestone updates to stakeholders.
Communication and collaboration:
Facilitate effective communication among cross-functional teams, vendors, and stakeholders. Schedule and coordinate meetings, prepare agendas, and ensure follow-up actions are completed.
Risk management:
Help identify potential risks and challenges that may impact project outcomes. Support the development of mitigation strategies and contingency plans.
Quality assurance:
Track deliverables to ensure adherence to established quality standards. Support quality reviews and assist with implementing corrective measures when necessary.
Resource coordination:
Aid in tracking and allocating resources for project execution. Collaborate with departments to confirm resource availability and resolve scheduling conflicts.
Research and analysis:
Conduct both qualitative and quantitative research under management supervision to support decision-making and contribute to project analysis.
Content development and management:
Assist teams in maintaining business-related intranet content by ensuring accuracy, relevance, and user-friendly organization of information.
Ad hoc support:
Provide administrative and project-related assistance to the Business Unit Head and Project Manager, including preparing presentations, coordinating events, managing documentation, and handling travel or calendar requests.
Skills Organizational skills:
Capable of prioritizing multiple tasks, managing deadlines, and maintaining well-organized documentation.
Communication skills:
Excellent written, verbal, and presentation abilities for engaging effectively with internal and external stakeholders.
Attention to detail:
Careful and thorough in tracking project progress, maintaining records, and identifying potential issues.
Problem-solving skills:
Skilled at analyzing situations, developing practical solutions, and making recommendations.
Collaboration and teamwork:
Works well across departments, fostering a cooperative and positive team environment.
Time management:
Effectively manages workload to meet deadlines and project goals.
Adaptability:
Flexible and able to adjust as project requirements or priorities change.
Technical understanding:
Basic familiarity with project management principles and tools; experience with project management software is an asset.
