Job Title:
Project Coordinator Job Description The Project Coordinator supports complex engineering and construction projects by coordinating project team activities, managing project logistics, and assisting Project Managers with financial and contractual processes. This role prepares and analyzes project budgets, supports the work order lifecycle, and ensures accurate documentation throughout the project. The Project Coordinator also mentors and trains less experienced coordinators, helping to build a strong and collaborative project support team. Responsibilities Prepare cost re-projections and explain budget variances for project spending to support effective financial control. Prepare contract requisitions and actively participate in the bidding process to support vendor selection and contract awards. Coordinate the full work order process for projects, from creation through in-service and closing, ensuring accuracy and completeness. Coordinate project meetings, including strategy and project planning sessions, kick-off meetings, pre-bid meetings, preconstruction meetings, and ongoing status meetings. Work closely with project team members on project activities and communicate with technical customer representatives, engineers, and designers on behalf of the Project Manager. Support the Project Manager in preparing and updating project lifecycle management documents, including Communication Plans, Checklists, PRB requests, Safety Plans, and Project Completion Punchlists. Coordinate project logistics, including arranging temporary office or jobsite facilities, securing electricity, obtaining permits, and arranging laydown yards and other site needs. Prepare re-projections of project spending and cash flows, monitor budget variances, and perform cost tracking and analysis to support project financial health. Provide analysis and verification for SOX-related activities to ensure compliance with internal controls and financial reporting requirements. Track, analyze, and submit information for un-vouchered liabilities and develop invoice data for billable work orders. Create contract requisitions and assist in preparing Requests for Proposals and Scopes of Work for contractors and vendors. Prepare bid evaluations, assist in analyzing bid results, and support the awarding of contracts in collaboration with Supply Chain. Communicate with Supply Chain and work with contractors on items such as un-vouchered liabilities, invoices, contracts, proposals, Affidavits of Completion, retention, and related documentation. Coordinate the work order process through completion, including preparing Work Order analysis reports, placing work orders in service, preparing journal entry reclassifications, and completing the Major Plant in Service report. Mentor and train less experienced Project Coordinators, providing guidance on processes, tools, and best practices. Essential Skills Experience in telecommunications, project coordination, construction, or related project support environments. Demonstrated experience working with project budgets, projections, and cost tracking and analysis, with at least three years of experience in these areas. At least three years of experience working with accounting principles, including debits and credits. Strong proficiency with Microsoft Office applications, including Excel, and the ability to work with databases and pivot tables. Experience working with financial costing software to support project accounting and cost management. Ability to coordinate multiple tasks and stakeholders, including engineers, designers, contractors, and project managers. Strong organizational skills with attention to detail in documentation, reporting, and financial tracking. Effective communication skills, both written and verbal, to support coordination, reporting, and stakeholder interactions. Capability to mentor and train less experienced team members in project coordination processes. Additional Skills & Qualifications Bachelor's degree or Associate's degree in Construction Management, Engineering, Accounting, Business, or a related field. Background in telecommunications or construction projects, particularly in environments requiring coordination of multiple disciplines. Experience with project management and project support activities, including scheduling, meeting coordination, and documentation control. Familiarity with Requests for Proposals, Scopes of Work, bid evaluations, and contract award processes. Comfort working with SOX-related financial controls and compliance processes. Ability to work collaboratively in a team-oriented environment and build strong working relationships across functions. Work Environment The role is based in a quiet engineering office environment designed to support focused project work. Job Type & Location This is a Permanent position based out of Tulsa, OK. Pay and Benefits The pay range for this position is $30.00 - $35.00/hr.
