Job Description

Job Title:
Project Coordinator Job Description The Project Coordinator supports complex engineering and construction initiatives by coordinating project team activities and managing project logistics. This role works closely with Project Managers to oversee work orders, budgets, and cost tracking, while also preparing key project documentation and supporting financial controls. The Project Coordinator also mentors and trains less experienced project coordinators, helping to build a strong and collaborative project support team. Responsibilities Coordinate project team activities and provide comprehensive support to Project Managers for project logistics and execution. Prepare cost re-projections and develop clear budget variance explanations for project spending. Monitor and analyze project budgets, projections, and cost tracking data to support effective financial management. Prepare contract requisitions and actively participate in the bidding process. Assist in preparing Requests for Proposal and Scopes of Work, and support the evaluation and analysis of bid results. Prepare bid evaluations and assist in awarding contracts in collaboration with the project team and Supply Chain. Coordinate the full work order process for projects, from creation of work orders through in-serving and closing. Develop and maintain Work Order analysis reports and ensure accurate placement of work orders in service. Prepare journal entry reclassifications and complete the Major Plant in Service report as part of project closeout. Coordinate project meetings, including strategy and project planning sessions, kick-off meetings, pre-bid meetings, preconstruction meetings, and ongoing status meetings. Collaborate with project team members on project activities and communicate on behalf of the Project Manager with technical and design stakeholders. Support the Project Manager in preparing and updating project documentation such as PLMP documents, Communication Plans, Checklists, PRB requests, Safety Plans, and Project Completion Punchlists. Coordinate project logistics, including arranging temporary office or jobsite facilities, securing electricity, obtaining permits, and arranging laydown yards. Prepare re-projections of project spending and cash flows and perform budget variance monitoring and cost tracking/analysis. Provide analysis and verification for SOX-related activities to support financial compliance requirements. Track, analyze, and submit information for un-vouchered liabilities (UVLs) and develop invoice data for billable work orders. Work closely with Supply Chain and contractors on items such as UVLs, invoices, contracts, proposals, Affidavits of Completion (AOC), and retention. Use financial costing software to support project accounting, including debits and credits and other accounting principles. Mentor and train less experienced project coordinators, providing guidance on processes, tools, and best practices. Essential Skills Three years of experience working on project budgets, projections, and cost tracking or analysis. Three years of experience working with accounting principles, including debits and credits. Proficiency with Microsoft Office, including strong skills in Excel databases and Excel pivot tables. Experience working with financial costing software to support project accounting and reporting. Demonstrated experience in project coordination within telecommunications, construction, or related project environments. Ability to support Project Managers with project logistics, documentation, and meeting coordination. Strong analytical skills to prepare cost re-projections, budget variance explanations, and financial reports. Effective communication skills to collaborate with engineers, designers, and other project stakeholders. Ability to mentor and train less experienced team members in project coordination processes. Additional Skills & Qualifications Bachelor's degree or Associate's degree in Construction Management, Engineering, Accounting, or Business. Experience in project support, project management support, or project coordination roles. Familiarity with telecommunications or construction project environments. Ability to prepare and evaluate Requests for Proposal and Scopes of Work. Experience coordinating contract requisitions and participating in the bidding and contract award process. Comfort working with SOX-related financial analysis and verification activities. Job Type & Location This is a Contract position based out of Tulsa, OK. Pay and Benefits The pay range for this position is $30.00 - $35.00/hr.
