Role Purpose The Multifamily Coordinator plays a critical role in supporting the Multifamily sales and operations teams by managing order execution, material coordination, installer communication, and real-time problem resolution. This position acts as the operational bridge between Sales Account Managers (SAMs), installers, the warehouse, and internal systems to ensure multifamily projects run smoothly, accurately, and on schedule. Essential Duties & Responsibilities Order & Project Coordination Complete and process order requests submitted by SAMs accurately and in a timely manner Generate installation documents and job paperwork required for multifamily projects Ensure all job details are complete, accurate, and properly entered into Floor Core Material Management & Procurement Reserve material for upcoming projects and verify availability Coordinate and facilitate procurement of materials when inventory is not available Communicate material needs, shortages, and timelines to relevant teams Send pick tickets to the warehouse and ensure materials are pulled correctly Installer Scheduling & Communication Communicate work orders clearly and accurately to installers Schedule jobs with installers in Floor Core, ensuring alignment with project timelines Serve as a secondary point of contact for installers regarding job details and changes Real-Time Problem Solving & Support Assist SAMs with real-time issues such as: Adding materials to existing orders Sending updated pick tickets to the warehouse Adding trip charges or labor line items as needed Troubleshoot and resolve order, scheduling, or material issues to keep jobs moving forward Administrative & System Support Maintain accurate and up-to-date job records and documentation Ensure compliance with internal processes and workflows Provide proactive communication to stakeholders regarding job status or issues Travel & Work Schedule Office-based in Myrtle Beach, SC, Wilmington, NC or Charlotte, NC. Full-time position, Monday-Friday, 9pm-5pm/8:30pm-4:30pm Desired Qualifications 1-3 years of experience in office administration, facilities coordination, or a similar support role. •Must be able to communicate fluently in both English and Spanish• Highly organized with strong follow-through—nothing gets forgotten or lost in the shuffle. Proficient in Microsoft Office (especially Excel and Outlook). Comfortable managing vendor relationships and holding external partners accountable. Strong written and verbal communication skills. Ability to prioritize competing tasks and shift focus as operational needs change throughout the day. Valid driver's license (regular local travel required). Working Conditions Office Based position. Some tasks involve warehouse environments, including coordination with warehouse staff and occasional light physical activity (moving supplies, organizing storage). Materials are ready when installers need them Materials are properly reserved, shortages are identified early, procurement is coordinated proactively, and pick tickets are sent accurately to the warehouse—preventing job delays caused by missing or incorrect product. Installers are clearly informed and properly scheduled Installers receive clear work orders, jobs are scheduled correctly in Floor Core, and last-minute confusion or rework is minimized. Real-time problems are handled quickly and calmly When issues arise—such as added material needs, trip charges, or scope changes—the coordinator resolves them efficiently, communicates clearly, and keeps jobs moving without escalation whenever possible. SAMs feel supported, not slowed down Sales Account Managers trust the coordinator as a go-to partner who anticipates needs, responds quickly, and removes operational friction so they can focus on customer relationships. Systems and records are clean and reliable Job records, labor lines, material allocations, and documentation are accurate, complete, and up to date, reducing downstream errors and rework. Projects stay on schedule Through strong follow-through, communication, and attention to detail, multifamily jobs consistently stay aligned with timelines and operational expectations.
Pay:
$50,000.00 - $60,000.00 per year
