Project Management & Operations Coordinator Yonkers, NY 10701 Hybrid work $25 an hour - Part-time, Contract $25 an hour - Part-time, Contract Job Overview We are seeking a highly organized and detail-oriented Project Management & Operations Coordinator to support execution across multiple business units in a fast-paced entertainment and media environment. This role is responsible for tracking, coordinating, and ensuring completion of active projects across multiple teams, with a strong focus on deadlines, KPIs, and cross-functional accountability. The ideal candidate can manage multiple concurrent workstreams (typically 5-10 active projects at any given time), maintain structured tracking systems, and ensure consistent follow-through across all initiatives. This is a part-time hourly role (10-15 capped hours per week). Core Responsibilities (Project Execution & 90-Day Planning) Manage execution of multiple 90-day plans across business units simultaneously (typically 3-6 plans at once) Maintain a centralized master project tracker covering 5-10 concurrent active projects Track and update: Weekly milestones Deadlines Dependencies Completion status Identify and escalate blockers within 48 hours of discovery Ensure all projects remain aligned with timelines and deliverable expectations KPI Tracking & Performance Reporting Maintain a weekly KPI dashboard across all business units Track key metrics including: Project completion rate (%) On-time delivery rate Task turnaround time (typically 24-72 hours depending on priority) Execution progress vs. planned milestones Prepare 1 monthly performance summary report for leadership review Ensure accuracy and consistency across all reporting systems Cross-Functional Coordination Coordinate deliverables across 5-6 core business verticals, including: Music & Entertainment Merchandising & Product Development Marketing & Sales Initiatives Film & Television Production Youth & Community Programs Internal Operations Responsibilities include: Aligning teams on deadlines and deliverables Managing 10-20 cross-team touchpoints per week (updates, emails, check-ins) Tracking follow-ups and ensuring completion of assigned actions Executive Reporting & Communication Deliver weekly executive summary reports (1 per week) covering: Project status updates Risks and blockers Completed vs. outstanding deliverables Manage follow-ups within 24-72 hours depending on priority level Maintain structured documentation of decisions, updates, and outcomes Film / TV Production Support (When Active) Track production timelines and milestones across 2-5 concurrent production workstreams (when applicable) Support scheduling coordination for production meetings and deliverables Ensure follow-ups are completed within required timelines Assist with logistical coordination as needed Operational Systems & Support Maintain structured documentation and workflow systems for all active projects Support onboarding coordination across teams and departments Organize and update internal tracking systems for full visibility of active tasks Improve operational efficiency through system organization and cleanup Ad Hoc Strategic Support Support additional assignments as directed by leadership Assist in resolving operational gaps and execution bottlenecks Translate high-level priorities into 5-15 actionable tasks per week (depending on workload cycle) Time Commitment 10-15 capped hours per week Hourly role: $25/hour Flexible scheduling with defined weekly deliverables Remote with hybrid coordination as needed Success Metrics Performance will be measured by: Project completion rate (target: 85-95%+ across active initiatives) On-time delivery of tasks and milestones Accuracy and consistency of reporting Responsiveness to updates (24-48 hour turnaround on priority items) Ability to manage 5-10 concurrent active projects effectively Cross-team coordination efficiency and execution flow Ideal Candidate Profile The ideal candidate is: Highly organized with strong systems and tracking ability Experienced managing 5-10 concurrent projects/workstreams Skilled in project coordination, operations, or marketing support roles Strong in KPI tracking, reporting, and structured documentation Able to work independently within 10-15 hours weekly (capped hours) Proactive with ability to escalate issues within 48 hours Strong communicator across creative and operational teams Detail-oriented with strong follow-through from start to completion Comfortable working in fast-paced, multi-vertical environments Why This Role Stands Out This is an opportunity to play a central coordination role across multiple entertainment, media, and community-focused business units, ensuring execution is structured, measurable, and consistently delivered.
