We pride ourselves on providing exceptional service, strong communication, and a seamless experience for our clients throughout the buying and selling process. We are looking for a highly organized, proactive, and dependable Real Estate Project Manager to help oversee listing preparation, transaction support, client communication, vendor coordination, and day-to-day operations. Position Overview This role serves as the central point of coordination between clients, agents, vendors, transaction coordinators, and internal team members. The Real Estate Project Manager is responsible for ensuring that listings, transactions, and projects move forward smoothly, efficiently, and on schedule. The ideal candidate is someone who takes ownership, thinks ahead, follows through, communicates effectively, and thrives in a fast-paced environment with multiple moving parts. Real estate experience is preferred but not required. We welcome candidates with backgrounds in project management, operations, executive assistance, customer success, hospitality, or related fields who are eager to learn and grow within the real estate industry. Key ResponsibilitiesListing Project Management Manage all aspects of listing preparation from pre-listing through market launch. Coordinate and schedule vendors, including cleaners, stagers, photographers, inspectors, contractors, landscapers, and other service providers. Monitor project timelines and ensure all work is completed on schedule. Review proposals, collect bids, and coordinate approvals. Demonstrate strong financial management skills when overseeing listing preparation projects. Maintain a basic understanding of cost control and budget management to help ensure projects remain on track. Proactively identify and resolve issues that may impact timelines. Ensure listings are prepared, marketed, and launched on time. Client & Agent Support Serve as a primary point of contact for clients throughout the listing and transaction process. Provide timely updates and follow-up communication. Deliver exceptional customer service and maintain strong client relationships. Support agents with operational, administrative, and project-related tasks. Help ensure a seamless experience for buyers and sellers. Transaction Coordination Support Track transaction milestones and important deadlines. Coordinate with escrow officers, lenders, transaction coordinators, vendors, and agents. Ensure disclosures, reports, inspections, and required documents are completed on time. Follow up on outstanding items and maintain accurate records. Assist in keeping transactions moving smoothly from contract to close. Operations & Team Coordination Maintain project trackers, checklists, and internal systems. Manage multiple active listings, escrows, and projects simultaneously. Prepare status updates and reports. Assist with process improvements and operational initiatives. Ensure projects are completed accurately and efficiently. Support leadership with special projects as needed. Qualifications Relevant experience in project management, operations, executive assistance, customer success, real estate, hospitality, or a related field preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to manage multiple projects and deadlines simultaneously. Strong attention to detail and follow-through. Resourceful, proactive, and solution-oriented. Comfortable working independently with minimal supervision. Ability to remain calm and organized under pressure. Valid driver's license and ability to drive proficiently. Comfortable traveling locally throughout Santa Clara County and surrounding areas when needed. Technology & Systems Comfortable learning and utilizing new software and technology platforms. Strong proficiency with Google Workspace and cloud-based collaboration tools. Ability to maintain organized digital records and project tracking systems. Fast-Paced Environment This is a busy, high-volume role supporting multiple active listings, transactions, clients, and projects at any given time. Candidates should be comfortable managing multiple listings, transactions, vendors, and client requests simultaneously while maintaining a high level of organization and responsiveness. The ideal candidate must be comfortable managing competing priorities, handling urgent requests, and staying organized while overseeing numerous projects simultaneously. Priorities can shift quickly, and success in this role requires excellent judgment, adaptability, and follow-through. No two days are the same. The person in this role must be comfortable wearing multiple hats and jumping in wherever needed to support the team and our clients. Schedule & Flexibility Requirements A high level of flexibility and responsiveness is essential for this position. While the role generally follows standard business hours, occasional evening or weekend availability may be required to address urgent client, vendor, or transaction-related matters. Because we manage multiple active listings and transactions simultaneously, flexibility, availability, and a strong sense of urgency are critical to success in this role.
