- Full-time Fitness Design Group (FDG) is a nationally recognized wellness and fitness design consultancy specializing in the planning, design, specification, and procurement of fitness and wellness environments.
We work with developers, hospitality groups, multifamily communities, private clubs, health clubs, architects, designers, and residential clients to create exceptional wellness experiences. We are seeking a highly organized and detail-oriented Project Operations Coordinator to support our growing team as we manage client projects from initial inquiry through design, budgeting, procurement, installation, and project closeout. This is a fully remote position reporting directly to our Head of Client Experience. About the Role The Project Operations Coordinator will serve as an important organizational teammate for the firm. You will help manage client information, coordinate project workflows within ClickUp (our project management software), provide limited accounting support, assist with client sending client proposals, maintain project documentation, and help ensure clients, vendors, and internal team members remain aligned throughout the life of a project as our client base continues to grow. This role is ideal for someone who enjoys maintaining structure, managing details, and finds health, wellness, and design to be an interesting and rewarding industry. Key Responsibilities
- CRM & Client Experience Support Manage and maintain project and client records within ClickUp Support lead tracking and sales pipeline administration Coordinate discovery calls, project meetings, and follow-up activities Maintain contact records and communication history Organize project documentation, notes, recordings, and files Assist with Design Services Agreements (DSAs) and project onboarding Project Coordination Collaborate and assist team members to support multiple active projects simultaneously Track project milestones, deadlines, and deliverables within our software Monitor project status and proactively identify potential delays Ensure project documentation remains organized and current Maintain project dashboards and reporting systems within ClickUp Budgeting & Procurement Support Coordinate Requests for Proposal (RFPs) Organize and track vendor submissions Assist with proposal compilations and budgeting support Track orders, delivery schedules, and installation timelines Administrative & Operational Support Support invoicing and project administration Assist with reporting and operational improvement initiatives Help develop and improve company processes as we continue to scale QualificationsRequired 2-5 years of professional experience in project coordination, project administration, operations, client services, or construction administration, procurement support, or similar roles Exceptional organizational skills and attention to detail Strong written and verbal communication skills Ability to manage multiple projects and priorities simultaneously Self-motivated and comfortable working independently in a remote environment Strong follow-through and accountability Experience using project management software such as ClickUp, Asana, Monday.
com, Smartsheet, Trello, or similar Preferred Experience working with architecture, interior design, construction, hospitality, real estate development, commercial furniture, fitness, wellness, or related industries Experience with CRM systems Experience with Project Management Software. Experience coordinating vendors and project stakeholders Experience with QuickBooks or similar accounting platforms What Success Looks Like In this role, success is measured less by technical expertise and more by organization, communication, accountability, and follow-through.
