PROPERTY OPERATIONS & PROJECT COORDINATOR
Position Overview Seeking a reliable, organized, proactive Property Operations & Project Coordinator to assist with residential rental properties, renovation projects, maintenance coordination, vendor management, and property oversight. This is a hybrid independent contractor position combining remote administrative work with on-site property visits. The ideal candidate is highly organized, communicates professionally, follows through consistently, and can work independently without constant supervision. This position serves as the owner's representative in the field, helping ensure contractors, vendors, tenants, and projects stay on track while providing regular updates and documentation to ownership. Position Details Hybrid / Partially Remote Approximately 3-4 days per week Approximately 4-5 hours per day, with flexibility depending on project needs Must have reliable transportation and a valid driver's license Must be comfortable traveling locally to properties, vendors, and supply stores Primary Responsibilities Project Coordination & Vendor Management Communicate with contractors, technicians, vendors, and service providers Schedule and coordinate electricians, plumbers, HVAC technicians, landscapers, handymen, locksmiths, roofers, and other vendors Track project progress and identify delays, obstacles, or missing information Follow up with vendors to ensure tasks are completed on schedule Determine what is preventing projects from moving forward and report findings to ownership Schedule follow-up calls, meetings, and site visits Assist ownership by acting as a point of contact between vendors and property owners Property Inspections & Site Visits Visit properties to assess conditions and monitor ongoing work Conduct move-in, move-out, maintenance, and general property inspections Identify maintenance issues, safety concerns, deferred maintenance, property damage, lease violations, cleanliness concerns, and contractor workmanship issues Verify that completed work meets expectations before reporting completion Monitor vacant properties and renovation projects Documentation & Reporting Take clear, organized photos and videos of properties, repairs, damages, inspections, and project progress Send updates via text message and email Write detailed inspection reports, project updates, and status summaries Maintain records of vendor communications, timelines, estimates, invoices, and project milestones Create punch lists and identify outstanding items requiring attention Report concerns, delays, and recommendations to ownership Administrative Support Respond to tenant inquiries as assigned Assist with scheduling, coordination, and property records Help maintain organized files, photos, vendor information, and project documentation Track maintenance requests and project deadlines Assist with rental listings, showings, and move-ins/move-outs when needed Errands & Field Support Pick up supplies, keys, locksets, materials, documents, and miscellaneous items as needed Deliver documents, keys, or materials between properties and vendors Ideal Candidate Extremely organized and detail-oriented Strong written and verbal communication skills Professional and dependable Comfortable communicating with contractors, tenants, and vendors Able to identify problems and propose solutions Self-motivated and capable of working independently Strong follow-through and accountability Comfortable learning new systems and procedures Able to manage multiple projects simultaneously Preferred Experience Property management Construction coordination Renovation projects Maintenance coordination Vendor management Real estate operations Administrative support Project management Inspection reporting Required Skills Reliable transportation Valid driver's license Smartphone with photo, text, and email capabilities Ability to create organized written reports Ability to communicate professionally with vendors and tenants Ability to prioritize tasks and meet deadlines This role is ideal for someone who enjoys solving problems, coordinating people, visiting properties, tracking project progress, and helping ensure projects are completed efficiently and correctly.
