The RCM Project Manager is responsible for leading complex revenue cycle initiatives with a primary focus on Practice Management System (PMS) conversions and integrations, third-party vendor implementation and oversight, legacy accounts receivable (AR) tracking and wind-down efforts, and varied RCM departmental project management. This role also leads and develops a dedicated team of RCM specialists who are aligned to enterprise-level initiatives rather than supporting a specific practice, region, or operational market. The team focuses on projects and strategic efforts that fall outside of day-to-day practice-level support, including system transitions, vendor implementations, integration optimization, legacy AR recovery, training, and other high-impact revenue initiatives. Serving as the operational bridge between RCM, IT, external vendors, and practice leadership, this position ensures seamless system transitions, revenue continuity, and financial integrity throughout the project lifecycle while maintaining strong governance, accountability, and performance oversight of the project-based RCM team.KEY RESPONSIBILITIES
Practice Management System (PMS) Conversions & Integrations Lead end-to-end RCM conversion projects, including planning, timeline development, data mapping, system configuration, testing, and go-live support. Coordinate cross-functional stakeholders through project plan. Perform RCM workflow discovery to augment transition plan and training approach. Oversee data migration, including fee schedules. Ensure claim submission, payment posting, AR follow-up, and reporting workflows are fully functional at and beyond go-live. Develop risk mitigation strategies to prevent revenue disruption during transition. Manage post-go-live stabilization including issue tracking, trend monitoring, and corrective action implementation. External Vendor Management & Integration Oversight Serve as the primary RCM liaison for billing partners, technology vendors, eligibility tools, payment processors, and analytics platforms. Support vendor selection, termination, and contract review in partnership with leadership. Oversee implementation timelines and integration protocols, including standard operating procedures. Monitor vendor performance metrics. Escalate integration failures or system issues impacting revenue cycle performance. Lead recurring vendor performance reviews and hold partners accountable to defined SLAs. Legacy Accounts Receivable (AR) Tracking & Rundown Develop structured legacy AR wind-down strategies following PMS conversions or billing transitions. Assign and oversee legacy AR recovery efforts executed by the practice or project-based RCM team. Establish and maintain reporting mechanisms to track beginning legacy AR balance, monthly collections, adjustment activity, net remaining exposure and credits. Prioritize high-value and aging claims to maximize recovery. Provide executive-level reporting on legacy AR progress, velocity, and projected resolution timelines. Ensure compliant account resolution and appropriate bad debt processing. Team Leadership & Project-Based RCM Oversight Lead, mentor, and develop a dedicated team of RCM Specialists assigned to enterprise-level projects rather than practice-specific or regional support. Establish clear performance expectations, KPIs, or project accountability standards for project-based RCM work. Manage team capacity planning and workload distribution across concurrent initiatives. Conduct regular one-on-ones, performance evaluations, and professional development planning. Foster a culture of ownership, cross-functional collaboration, and proactive problem-solving. Ensure the team maintains detailed documentation, tracking logs, and reporting standards across all initiatives. Identify skill gaps and coordinate training. Project Governance & Executive Reporting Develop project charters, scope documentation, and defined success metrics. Maintain detailed project plans with milestones, dependences, and accountability assignments. Facilitate recurring project status meetings and distribute executive summaries. Identify risks and provide mitigation recommendations. Maintain centralized documentation repository including workflows, SOP updates, and system changes. Process Optimization & Revenue Protection Identify workflow gaps introduced during system transitions. Support automation initiatives that reduce manual intervention. Continuously evaluate project outcomes and implement process improvements to strengthen enterprise RCM performance.PREFERRED QUALIFICATIONS
Bachelor's degree in healthcare administration, finance, business, or related field Minimum of 5-7 years of experience of progressive Revenue Cycle Management experience, or within the healthcare industry, preferably in oral surgery or a related specialty, including direct exposure to claims life cycle, payer adjudication, AR management, and financial reporting Minimum 3 years of project management experience within a healthcare, dental, or multi-site provider environment Demonstrated experience leading Practice Management System (PMS) conversions, system integrations, or large-scale operational transitions Proven people leadership experience, including direct supervision, performance management, coaching, and workload allocation Experience managing external vendors and holding partners accountable to service level agreements (SLAs) Advanced analytical and reporting skills, including proficiency in Excel and revenue cycle performance dashboards Demonstrated ability to manage multiple concurrent projects while meeting timelines and financial performance goals Strong executive communication skills with the ability to translate operational data into financial impact High level of organizational discipline, documentation rigor, and process orientationTRAVEL REQUIREMENTS
This role requires the ability to travel up to 25% of the time to support practice management system (PMS) conversions, implementations, and on-site training initiatives across affiliated practices. Travel may include both planned and short-notice trips depending on project timelines and business needs. Responsibilities during travel include facilitating system go-lives, delivering end-user training, providing at-the-elbow support, and collaborating with cross-functional teams to ensure successful adoption of new systems and workflows.
