  • Full-time Job Summary Position Summary We are seeking a highly organized, dependable, and detail-oriented Business Administrator / Project Operations Coordinator to support our growing commercial flooring operation.
This role provides business administrative support and project operations coordination within a fast-paced construction environment. The position serves as a key support resource for project management, accounting, field operations, vendors, customers, and office leadership by helping ensure projects, transactions, documentation, and communication move efficiently from project award through closeout. Responsibilities include ERP transaction processing, project setup and administration, purchase order management, materials coordination, submittals, change orders, contract documentation, billing support, accounts payable and accounts receivable support, documentation control, and maintaining accurate project records throughout the project lifecycle. The ideal candidate is proactive, organized, communicates effectively, enjoys helping others succeed, and takes pride in keeping projects and business operations moving smoothly and accurately. Instead, the role focuses on supporting project-related transactions, operational workflows, documentation management, and administrative processes that contribute to successful project execution and efficient business operations. DUTIES Billing, Accounts Receivable & Administrative Accounting Support Assist with customer invoicing and accounts receivable processing. Track payment status and maintain supporting records. Prepare Schedule of Values (SOVs) when required. Prepare and request lien waivers. Prepare any prerequisites required by the contract (e.g., W-9, COI, Vendor Lists, Davis Bacon, Business Licenses) Gather and maintain contract prerequisites including W-9s, Certificates of Insurance, business licenses, vendor forms, and related documentation. Assist with accounts payable processing and vendor documentation. Maintain organized records related to project costs and vendor transactions. Support accounting and project management personnel by helping ensure documentation is accurate, complete, and available when needed, helping improve overall efficiency Project Operations Coordination Set up new projects within the ERP system and company filing structure. Enter and maintain project budgets and supporting project information. Gather signed project startup documents and required project checklists. Track and process change orders and supporting documentation. Assist with project scheduling and project tracking activities. Support project managers with documentation, reporting, and coordination needs. Help identify missing information, incomplete documentation, or potential delays before they impact project execution. Assist with installer pay processing and supporting project documentation. Maintain accurate project records from project award through final closeout. Submittals & Documentation Management Prepare, organize, and track project submittals. Coordinate collection of product data, specifications, shop drawings, and supporting documentation. Help ensure submittals are accurate, complete, and submitted on time. Track approval status and communicate updates internally. Maintain organized submittal logs and project documentation. Assist with closeout documents, warranties, maintenance information, and final project paperwork. Maintain organized electronic and physical project files throughout the project lifecycle. ERP Transaction Processing, Purchasing & Vendor Coordination Enter and maintain accurate information within JobRunner and other company systems. Process project-related transactions and supporting documentation. Create and manage purchase orders. Receive and process vendor invoices and supporting documentation. Match invoices to purchase orders and project documentation when required. Assist with materials ordering and vendor coordination. Verify documentation for completeness and accuracy before processing. Maintain data integrity and support workflow consistency throughout the organization. Communicate with vendors regarding orders, documentation, and project requirements. Contract & Compliance Administration Maintain and organize Certificates of Insurance (COIs). Review project documentation and contracts for completeness and accuracy. Track required project compliance documents and deadlines. Help ensure contractual and administrative requirements are met throughout the project lifecycle. Maintain organized records supporting customer, vendor, and project compliance requirements. Qualifications Strong organizational and communication skills. Exceptional attention to detail and follow-through. Comfortable multitasking in a fast-paced, deadline-driven environment. Professional, dependable, and accountable. Strong computer and Microsoft Office skills. Ability to learn systems, software platforms, and operational workflows quickly. Strong problem-solving skills and proactive mindset. Experience in construction, project coordination, business administration, office support, billing support, accounts receivable support, or related administrative roles preferred. Commercial flooring or construction industry experience is highly desirable. Experience with project documentation, contracts, submittals, change orders, purchasing, and project administration is preferred.
