This is a detail-oriented, process-driven role that keeps service operations running smoothly, from tracking awarded jobs and organizing close-out documentation to meticulously processing travel and project-related receipts. The role is designed to flex with the needs of the department, and the right candidate may take on a more specialized focus or expand into broader responsibilities over time. The Service Coordinator is a reliable backbone of the service department, ensuring project managers have the organized, accurate support they need to deliver on time and on budget. This position reports to the Senior Project Manager.
Duties:
Provide day-to-day administrative support to the Senior Project Manager and project management team across all active service and maintenance projects. Collect, organize, and accurately process travel and project-related receipts and expense documentation, ensuring completeness and adherence to required standards. Compile and organize close-out documentation following repair and preventative maintenance visits, including checklists, technician reports, client approval signatures, and supporting materials. Track awarded scheduled and unscheduled service jobs, maintaining up-to-date status records to support project manager oversight. Assist with gathering material and equipment pricing to support the development of service proposals and cost sheets. Review and route documents for timely approvals, helping ensure projects stay on schedule and within budget. Support routine communications with vendors, subcontractors, and customers via email and phone as directed by the project management team. Assist with maintaining and updating the service department schedule. Maintain organized electronic and physical filing systems for all project and service documentation. Build and maintain databases and tracking tools using Excel and various company software platforms to support project and service operations. Perform other projects and duties as assigned.
Requirements, Skills, and Qualifications:
Associates' degree in business administration, management, electronics, engineering technology, logistics, or a related field is required. A Bachelors' degree is preferred. 2 or more years of experience as a Service Coordinator or similar role. Excellent verbal and written communication skills with impeccable attention to detail. Advanced proficiency with MS Excel, Word, and other MS Office applications is required. Ability to work independently with a high level of organization, as well as analytical and problem-solving skills. Ability to work under pressure and tight deadlines. Must possess a valid REAL ID driver's license. Must be able to work in the United States without sponsorship. Must be able to pass a background check and drug test to permit access to military installations and similar controlled areas.
Physical Requirements:
Ability to sit or stand at a computer workstation for several hours at a time. Ability to lift at least 50 pounds to waist level.
Additional Information:
Duties are performed primarily in PSP's Brentwood, TN office. Occasional travel to vendor locations, work sites, and off-site meeting locations in the United States with all related expenses paid for by the company.
