Role Summary We are seeking a Project Coordinator I to support a high volume utility distribution program by managing documentation, billing processes, and coordination across project teams. This role is essential to maintaining operational efficiency, financial accuracy, and compliance across multiple active projects. You will work closely with Project Managers, field teams, and client stakeholders to ensure invoices are processed accurately, documentation is complete, and communication flows smoothly across all parties. The ideal candidate thrives in fast paced environments, is highly detail oriented, and brings strong organizational and interpersonal skills. Key Responsibilities
Prepare, review, and maintain project documentation including work orders permits and compliance forms
Ensure all documentation meets contractual requirements and regulatory standards
Verify billing accuracy against approved work orders and project budgets
Investigate and resolve invoicing discrepancies in coordination with internal teams
Serve as a liaison between project managers field teams and client representatives
Maintain consistent communication regarding project status billing cycles and documentation needs
Update project trackers databases and reporting tools for distribution projects
Generate reports on invoicing status outstanding items and compliance metrics
Support audits and internal reviews with accurate and organized documentation
Assist project managers and team members with administrative and operational tasks as needed Key Requirements
2 plus years of experience in project coordination administrative support or billing and invoicing roles
Experience supporting construction utilities electrical or distribution projects preferred
Strong proficiency in Microsoft Excel and the broader Microsoft Office suite
Demonstrated ability to manage high volume workloads with accuracy and attention to detail
Strong organizational and time management skills
Excellent communication and interpersonal skills with customer facing experience
Ability to work effectively in fast paced environments with quick turnaround timelines
Self starter mindset with the ability to prioritize and adapt
Associate degree or equivalent experience in business administration project management or related field Success Profile
