Position Summary The Startup Coordinator is responsible for coordinating and managing all activities associated with the equipment startup phase of HKI projects, ensuring a smooth transition from initial customer engagement through final project completion. The startup phase is the final step before equipment becomes operational, making this role critical to project success and customer satisfaction. This position serves as a central communication hub between internal teams, service agents, and customers to ensure alignment, readiness, and timely execution. The Startup Coordinator oversees scheduling coordination, documentation accuracy, site readiness verification, and workflow tracking to minimize delays and deliver consistent, high-quality customer experience. Essential Functions
  • Maintain and update the daily Startup Excel Tracker and utilize project tracking tools to monitor current project status and activity.
  • Create and manage project folders for all new, rebuild, relocation, and remodel startup projects.
  • Review Ground Break documentation to identify relevant project details and preferred service agents.
  • Review orders and drawings to identify equipment requiring startup services; detect discrepancies or errors and notify internal HKI teams for resolution.
  • Communicate with customers to confirm preferred service agents when required.
  • Complete startup contact documentation and assign qualified service agents using approved tools and resources.
  • Coordinate startup workflows and documentation processes, proactively identifying and resolving issues to keep projects on schedule.
  • Facilitate communication between store/site contacts and service agents regarding scheduling, site readiness, and missing requirements to prevent delays.
  • Maintain accurate and detailed records of communications, status updates, and outstanding action items for each startup project.
  • Ensure all startup resources, tools, and reference materials remain current and accessible.
  • Maintain regional profiles to enable efficient access to customer preferences, requirements, and historical data.
