Job Title:
Project Coordinator Job Description The Project Coordinator supports the successful delivery of construction and engineering projects by maintaining accurate schedules, coordinating resources, and ensuring project data and documentation remain current. This role works closely with project managers, department leaders, and clients to provide clear visibility into project performance, facilitate effective communication, and support project controls and compliance activities. Responsibilities Collaborate with project managers to develop initial project schedules and enter them into the designated planning and scheduling tools. Partner with department managers to keep the resource plan current and actively used for capacity planning and forecasting. Establish and maintain a consistent cadence of project performance review meetings with project managers. Support project managers during project execution by ensuring project data is accurate, up to date, and aligned with performance metrics and KPIs. Coordinate the flow of information between the project team and the client, including the creation and distribution of weekly reports. Attend project meetings and prepare detailed, accurate minutes of meetings for distribution and follow-up. Monitor resource loading within project schedules to help identify constraints and support effective resource allocation. Apply an understanding of construction sequences to evaluate and work through different project scenarios and schedule impacts. Prepare drafts of monthly progress reports summarizing schedule status, milestones, and key project updates. Track and ensure compliance with contract requirements as they relate to schedule, reporting, and project controls. Demonstrate and apply knowledge of project control tools to support scheduling, forecasting, and performance tracking. Assist with schedule baseline development and schedule update reviews to support accurate project planning and progress measurement. Essential Skills 1-3+ years of experience in project coordination with a consulting or engineering firm or a construction company. Hands-on experience with construction scheduling and bid reviews. Proficiency with scheduling tools such as Primavera P6 and Microsoft Project. Proficiency with Microsoft Word, Excel, PowerPoint, and Adobe Acrobat. Demonstrated understanding of construction sequences and their impact on project schedules. Strong oral and written communication skills for interacting with project teams and clients and preparing reports and meeting minutes. Strong interpersonal and leadership skills to work effectively with project managers, department managers, and stakeholders. Ability to coordinate and prioritize multiple long- and short-term tasks simultaneously in a fast-paced project environment. Strong organizational, analytical, and problem-solving abilities to support project controls and schedule management. Additional Skills & Qualifications Bachelor's degree in engineering, construction, business, or a related field preferred. Experience using project control tools and methodologies to support scheduling and performance measurement. Experience preparing project performance reports, progress updates, and KPI summaries. Ability to interpret contract requirements and track compliance related to scheduling and reporting. Interest in professional development supported by tuition reimbursement and growth opportunities. Comfort working in both corporate office and client site environments within the construction and engineering sector. Work Environment This is an in-office role based in the Midlothian corporate office with regular travel to client sites in the Richmond, VA area. The position requires working on-site five days per week, splitting time between the corporate office and active project locations as needed. The work environment involves close collaboration with project managers, department leaders, and client representatives, and frequent use of scheduling software such as Primavera P6 and Microsoft Project, along with standard office tools like Microsoft Office and Adobe Acrobat. Job Type & Location This is a Contract to Hire position based out of Midlothian, VA. Pay and Benefits The pay range for this position is $30.00 - $40.00/hr.
