Back to jobs New Manager of Project Coordinators Richmond, VA Apply The Opportunity InCharge Energy is seeking a highly organized and strategic Manager of Project Coordinators to lead the day-to-day operations, development, and performance of the Project Coordinator team. This role is responsible for driving consistency, accountability, and execution across project coordination workflows that support customer deployments, internal handoffs, and project closeout activities. The Manager of Project Coordinators will oversee workload prioritization, team development, process discipline, and performance visibility while partnering closely with cross-functional stakeholders to ensure projects progress efficiently and customer commitments are met. Success in this position requires strong operational judgment, the ability to manage multiple workstreams in a fast-paced environment, and the ability to build effective partnerships across internal teams, customers, and service providers. What You'll Do Lead the day-to-day operations of the Project Coordinator team, ensuring clear priorities, balanced workloads, and consistent execution across active projects Manage, coach, and develop Project Coordinators to strengthen performance, accountability, and customer support throughout the project lifecycle Establish and maintain team processes, controls, and standard operating procedures that improve efficiency, consistency, and project outcomes Assign and adjust workflows based on project volume, team capacity, urgency, and business priorities Supervise your assigned functional team, monitor their performance, and support individuals as required to execute their function Monitor key performance indicators, team productivity, and project milestones to identify risks, bottlenecks, and improvement opportunities Partner cross-functionally with Order Fulfillment, Service, Customer Support, Sales, Finance, and Operations to support seamless project execution and timely issue resolution Drive effective communication with customers and internal stakeholders regarding project status, dependencies, next steps, and escalations Support project closeout activities by ensuring documentation is complete, handoffs are properly executed, and outstanding items are resolved in a timely manner Create and enforce quality assurance practices, documentation standards, and policy compliance within the Project Coordinator function Track training requirements, support onboarding efforts, and reinforce best practices to ensure the team is equipped for consistent execution Develop reports, dashboards, and operational insights to support leadership visibility, resource planning, and continuous improvement efforts Escalate systemic issues, workflow breakdowns, or customer-impacting risks to leadership with clear recommendations for resolution Contribute to strategic planning and process improvement initiatives that enhance customer experience, operational performance, and scalability Other duties as assigned Your Experience and Capabilities Bachelor's degree in Business, Operations, Project Management, Communications, or a related field preferred, but not required 3+ years of experience in project coordination, operations, order management, service coordination, or a related function in a high-volume environment Experience leading, mentoring, or managing coordinators or cross-functional administrative support teams Strong ability to manage multiple priorities, allocate work effectively, and maintain execution quality across competing deadlines Demonstrated experience developing processes, enforcing standards, and improving team workflows in a fast-paced environment Experience working across multiple departments to drive alignment, resolve issues, and support customer-facing project execution Strong reporting and analytical skills, with the ability to monitor KPIs and translate data into actionable operational improvements Experience with Microsoft Office Suite required; experience with Salesforce, Jira, or similar workflow and reporting platforms preferred PMP certification or formal project management training preferred Excellent written and verbal communication skills with strong organizational discipline, attention to detail, and follow-through Adaptable, proactive, and solution-oriented mindset with the ability to lead through changing priorities and evolving business needs US Salary Range $70,000 - $85,000 USD What We Offer Full-time employees enjoy competitive compensation and benefits package including 401(k) matching contribution, health, dental, and vision, cell phone reimbursement (for most positions), generous vacation and paid sick leave, office meals and snacks, team building events and activities throughout the year.
