We are seeking a highly organized and detail-oriented Office Assistant to support both our office and field operations. Position Summary The Office Assistant plays a key support role within the company, helping reduce administrative workload for field personnel so they can remain focused on active job sites and project execution. This position works closely with both field and office teams to ensure project information is complete, organized, and accurate for timely and correct billing. A core responsibility of this role is gathering, organizing, and verifying project-related information required for invoicing completed work. This includes research, follow-ups, and communication with field staff, subcontractors, vendors, clients, and other stakeholders to ensure all necessary documentation is complete and nothing is missing. This role is essential in maintaining clear communication between field operations and the office, ensuring information flows efficiently and accurately across all active projects. The position is highly digital and requires strong comfort working within Microsoft 365 (Outlook, Teams, SharePoint, Planner) and ResQ. Responsibilities Field & Project Administrative Support Support field personnel with day-to-day administrative tasks. Gather, verify, and organize all project-related information required for billing. Follow up with field teams, subcontractors, vendors, and clients to obtain missing documentation or details. Track project activity and ensure all required records are complete and accurate. Maintain organized project documentation for billing, reporting, and closeout purposes. Project Billing Support Work closely with office staff to ensure all information required for invoicing is complete and accurate. Identify missing billing details and proactively resolve gaps through follow-up and research. Support accurate and timely project billing by maintaining organized job records. Assist with project closeout documentation and final job file completion. Office Administration Manage incoming calls, emails, and general office communications. Maintain organized digital filing systems and project folders. Order office supplies and assist with vendor coordination. Schedule meetings, site visits, inspections, and internal coordination activities. Support general administrative workflows as needed. Coordination & Logistics Support Assist in scheduling inspections and coordinating with field teams and inspectors. Track inspection requirements and follow up on results and next steps. Support material ordering and coordination as requested by field staff. Assist in coordinating subcontractor scheduling and site access requirements. Track receipts and job-related expenses submitted by field crews. Qualifications Construction industry experience preferred. Experience in administrative support, coordination, office administration, or similar roles. Strong organizational skills and attention to detail. Ability to manage multiple priorities and deadlines. Excellent written and verbal communication skills. Strong follow-up skills and ability to obtain information from multiple sources. Valid driver's license and reliable transportation. Software & Technology Requirements Proficiency with Microsoft 365 (Outlook, Excel, Word, Teams, SharePoint, Planner). Comfortable working in digital file management systems. Experience with ResQ preferred. QuickBooks Online experience preferred; QuickBooks Desktop experience accepted. Experience with construction or service management software is a plus.
