Job Description
Job Summary We are seeking a dynamic and detail-oriented Assistant Project Manager to join our construction management team. In this pivotal role, you will support the planning, coordination, and execution of construction projects from inception to completion. Your energy and proactive approach will help ensure projects are delivered on time, within scope, and within budget. This position offers an exciting opportunity to develop your project management skills while working alongside experienced professionals in a fast-paced environment. The ideal candidate will possess strong technical knowledge, excellent organizational skills, and a passion for construction. Please note that this position is in office, not remote. Assistant Project Manager - Key Responsibilities Process subcontractor and vendor payments accurately and on schedule Review and approve project-related vendor invoices Ensure subcontractor compliance, including verification of current insurance certificates and state licensing Collect and maintain new subcontractor agreements, certificates of insurance, and supporting documentation Manage vendor and subcontractor lien waivers (conditional and unconditional) Complete contractor pre-qualification packages for owners and general contractors Prepare and submit accurate project billings (AIA G702/G703 or owner-specific formats) Set up new projects in the accounting/PM software (enter budgets, cost codes, commitments, etc.) File, track, and manage Preliminary Notices and lien rights in compliance with state regulations Process and enter project change orders into the system and distribute accordingly Track rental equipment schedules, returns, and associated costs Monitor and coordinate maintenance and registration for company vehicles and equipment Maintain company-wide state licensing, qualifications, and compliance requirements Provide direct support to Project Managers and senior management with additional administrative and project-related tasks as needed Provide direct support to Accounting with data entry of receipts, invoices, and other items as needed This role serves as the critical link between accounting, field operations, and project management, ensuring smooth financial and compliance workflows on every job. Qualifications Proven experience in construction management or similar field preferred. Proficiency in Quick Books Online (minimum of 1 year of experience not including schooling) Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Strong communication skills for effective collaboration across teams and stakeholders.
