We're looking for a highly organized, proactive Account Coordinator to support our Account Managers and keep projects moving forward with precision and care. About the Role As an Account Coordinator, you'll play a critical role in supporting Account Managers by managing project details, order processing, internal coordination, and ongoing communication throughout the lifecycle of trade show and custom display projects. This role is highly execution-focused and requires strong organizational skills, follow-through, and the ability to proactively keep projects live and on track. You will serve as a key internal connector between sales, production, design, vendors, and operations—ensuring nothing falls through the cracks while maintaining exceptional service standards. What You'll Do Order Entry & Data Accuracy Enter customer orders promptly and accurately upon receipt of purchase orders and required information Cross-check order details, pricing, quantities, and timelines for accuracy Receive order acknowledgements and ensure POs are properly entered, linked, and documented within the job system Support inventory-related order entry and manual reviews, including client programs Maintain accurate data entry across internal systems to ensure seamless project flow Project Coordination & Production Support Support Account Managers in executing larger projects by managing timelines, follow-ups, and task progression Touch base with production teams to understand requirements, timing, and next steps Capture and distribute takeaways from production meetings Track status updates, due dates, and milestones throughout the job lifecycle Proactively keep projects moving through the system and flag potential risks early Sales & Account Support • Provide support to overall sales team, including promotional products division where time allows, in a similar capacity • Perform other data entry, research and similar tasks as assigned to support the sales process Tradeshow & Event Support Coordinate graphic ordering for trade show items Manage file coordination, proofing processes, and approvals Support trade show event management logistics, including in/out tracking, shipping, returns, refurbishment, and storage Assist with customer service needs related to b2b Tradeshow programs Handle details and coordination for specific accounts Design, Mockups & Visual Assets Coordinate design drawings and ensure timeline adherence throughout the project Create and update mockup decks for displays, including pricing grids and product descriptions Collect, organize, and distribute completed display images from multiple angles for internal and client use Maintain easily accessible visual references and examples for sales and internal teams Inventory & Asset Management Support inventory tracking and reconciliation efforts Assist with receiving, reviewing, and documenting inventory movement Manage shipping coordination, return tracking, and refurbishment workflows Ensure inventory records and asset statuses remain accurate and up to date Client & Internal Communication Provide regular and requested internal status updates to sales and project teams Communicate project progress clearly and professionally to internal stakeholders Support client communication as needed, while Account Managers retain responsibility for pricing changes and escalation conversations Ensure timely updates on where projects stand within the process Systems, Reporting & Organization Maintain CRM updates, job tracking, and CRM records with a high level of accuracy Create and update CRM contacts and project records as needed Pull reports and proactively react to internal or external findings Ensure all project documentation, notes, and communications are well organized and accessible Qualifications & Core Values:
