Approximately 20 hours per week, 5-days per week 4 hours each day Minimum of 1 weekend day included in the 5-day workweek Mandatory support of the Monthly board meeting on the final Thursday of each month at 630 PMPosition Summary The Anslee Farms Owners Association, a self-governed community in Huntsville, is seeking a highly organized and professional Part-Time HOA Community Manager to provide essential operational and administrative support to its volunteer Board of Directors and various standing committees. This role is critical for ensuring systematic record-keeping, consistent community oversight, and organized communication. The Administrator serves as the main point of contact for residents and is responsible for meticulous enforcement, administration, and vendor coordination. The ability to maintain strict confidentiality regarding resident and Association records is essential. Crucially, this is a non-fiduciary administrative support role. All financial management, including budgeting, assessment collection, and financial reporting, is handled exclusively by the volunteer Board. Core Responsibilities 1. Managing Support & Communication Serve as the primary liaison for all resident inquiries via phone, email, and the resident portal. Manage, screen, and prioritize inbound and outbound correspondence, escalating complex policy or legal issues to the appropriate Board member. Maintain and manage accurate membership rosters, official association files, and digital records.
Governing Document Management:
Maintain copies of the official Declaration, Bylaws, and Rules; assist in distributing these documents to new residents; and facilitate resident requests for access to Association records (as directed by the Secretary).
Provide Committee Support and Coordination:
Serve as the central administrative resource for all volunteer committees (including Architectural Review Committee (ARC), Hospitality/Communications, Recreation, Project Development, etc.). Support includes distributing meeting notices, archiving committee records, processing/logging homeowner requests for ARC review, and assisting with community communications (e.g., preparing and posting informational flyers, event notices, and website updates). The committees maintain their own calendars and meeting schedules. Provide Meeting Support to the
Board of Directors:
Assist the President and Secretary by preparing, compiling, and distributing background materials for meetings, coordinating meeting logistics, and assisting with the final preparation and distribution of official meeting minutes. 2. Community Oversight and Maintenance Coordination Conduct periodic site inspections of common areas (parks, public lighting, facilities) and private properties for upkeep and maintenance needs Assist the Architectural Review Committee with reviewing requests. Report common area safety hazards (e.g., broken equipment, poor lighting, uneven surfaces). Proactively identify and log potential safety or structural hazards (e.g., poor lighting, broken equipment) and support the Board's preparation efforts for natural disasters or severe weather events. Assist the Vendor Management Committee with monitoring vendor performance and vendor scheduling. Process and track non-emergency maintenance requests for common areas, submitting work orders for Board approval. 3. Covenant Enforcement Investigate and verify alleged violations of the community's covenants, conditions, and restrictions (CC&Rs) observed during inspections or reported by residents. Work closely with the Compliance Committee to execute the official multi-step enforcement notice process. Responsibilities include preparing, logging, and sending all necessary official communications (initial warning notices and formal second notices of potential fines) in strict accordance with policy. Ensure all notices strictly adhere to governing document procedures, including providing the alleged violator with a timely opportunity for a hearing with the Board. Required Skills and Qualifications High school diploma or equivalent required. Related education or experience in property management, business administration, or community relations preferred. Minimum of two (2) years of proven experience in a professional administrative or coordination role. Exceptional written and verbal communication skills, strong professional phone etiquette, and a service-oriented approach to resident interactions. Demonstrable expertise in rigorous organizational management and attention to detail. Proven ability to handle sensitive and confidential personal or organizational information with discretion. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with or willingness to quickly achieve proficiency in HOA/Property Management Software (e.g., PayHOA, Buildium) for communication, work order management, and violation tracking. The Community Manager and their immediate family will be granted full access to the community pool, multi-purpose court, and playground during non-working hours, consistent with the privileges of a resident in good standing.
