Vacation Rental Coordinator Bear Creek Property Management and Associates 1555 West Iron Springs Road, Prescott, AZ 86305 Up to $17 an hour - Full-time Up to $17 an hour - Full-time Job Overview We are seeking a dynamic and detail-oriented Vacation Rental Coordinator to join our vibrant property management team. In this role, you will oversee the daily operations of vacation rental properties, ensuring seamless guest experiences and efficient property management. Your proactive approach will help maximize occupancy rates, maintain high standards of property upkeep, and foster positive relationships with guests and property owners alike. This is an exciting opportunity for someone passionate about hospitality, real estate administration, and delivering exceptional customer service in a fast-paced environment. Duties Coordinate all aspects of vacation rental bookings, including reservations, check-ins, check-outs, and guest inquiries Manage property availability calendars using platforms such as Buildium, Excell, and Word to optimize occupancy and revenue Handle legal administrative tasks related to lease agreements, contracts, and compliance with Fair Housing regulations Assist with property maintenance scheduling and liaise with facilities management teams to ensure properties are well-maintained Provide excellent customer service through phone, email, and in-person interactions, addressing guest needs promptly and professionally Upsell additional services or amenities to enhance guest experiences while meeting sales targets Maintain accurate data entry records, filing systems, and documentation for all rental activities and legal compliance Skills Proficiency in property management software such as Buildium or Appfolio. We will train on all programs. Reservations and tenant records. Experience with legal administrative processes related to landlord-tenant law and lease contracts Familiarity with Fair Housing regulations and Section 8 voucher programs to ensure compliance Excellent conflict management skills to resolve guest issues effectively while maintaining positive relationships Background in real estate administrative tasks, including data entry, filing, and contract management Exceptional customer service skills with professional phone etiquette and relationship-building abilities Ability to negotiate terms with tenants or vendors confidently while adhering to legal standards Knowledge of property maintenance procedures and facilities management practices Office experience demonstrating organizational skills, attention to detail, and multitasking capabilities This role offers an engaging environment where your organizational talents and customer service expertise will directly impact guest satisfaction and operational success.
