Job Title:
Assistant Property Manager Job Summary:
We are seeking a dedicated and experienced Assistant Property Manager to support the daily operations of a residential portfolio. This role has a strong focus on leasing performance and field operations oversight, working closely with senior management to maintain property standards, ensure tenant satisfaction, and maximize revenue. The ideal candidate is hands-on, organized, and confident managing both leasing activity and on-site operational responsibilities.Office Responsibilities:
Communicating effectively with residents, vendors, and colleagues.Phone Management:
Answer the phone professionally and knowledgably; take accurate and complete messages; answer questions, enter repair orders, and follow up consistently.Email Monitoring:
Monitor and respond to emails.Tenant Communication:
Reach out to tenants regarding notices, repairs, updates, and follow-ups.Data Management:
Update tenant information in Yardi and assist with legal documentation and invoices as needed.Calendar Management:
Maintain and update the office calendar and unit remodel schedule; manage file organization and set up new tenants in Yardi.Office Administration:
Maintain a clean and organized workspace, recognizing and honoring the practices of your colleagues and managers.Vacancy Responsibilities:
Leasing vacancies, including move-out, move-in, and turn-over.Tenant Engagement:
Follow up promptly with prospective tenants about rental opportunities; respond to inquiries via phone, email, and online marking platforms.Application Processing:
Review and process prospective tenant applications, including running credit checks, verifications, validating information provided, and leasing.Move-In/Out Coordination:
Manage all notices to vacate; conduct move-in and move-out inspections.Vendor Management:
Dispatch and coordinate vendors for work orders and repairs for vacant units.Marketing:
Take and edit photos and videos of vacant units; manage vacancies on all relevant websites, including ApartmentsInBurbank.com and Instagram.Utility Coordination:
Contact Burbank and Glendale Water and Power to turn utilities on/off as needed.Lease Management:
Prepare lease agreements, facilitate tenant signing, and assemble key packets for new tenants.Documentation:
Document everything significant; collect move-in funds and ensure the tenant's file is ready for possession; send DocuSign receipts and lease agreements.Field Work:
Property Inspections:
Conduct weekly inspections of all buildings and vacancies with attention to details. Schedule and oversee common area maintenance and improvements. Make sure the properties remain in excellent condition. Schedule AC filter and smoke detector inspections.Waste Management:
Coordinate bulk pickup for excessive dumping to ensure properties are well-maintained.Marketing Materials:
Take photos and manage marketing materials.Rent and Coin Collection:
Collect rents from all properties; conduct bi-weekly coin collection.Notice Serving:
Serve notices to residents as required.Cleanliness:
Picking up trash around the properties, ensuring cleanliness.Qualifications:
Minimum 3 years of property management experience required Valid California driver's license required Must be able to lift at least 20-30 pounds. Leasing background preferred Knowledge of California landlord-tenant laws Familiarity with property management and office software systems Solid understanding of facilities and maintenance coordination Excellent customer service and conflict resolution skills Professional phone etiquette and communication skills Strong organizational and documentation abilitiesWhat We're Looking For:
