Job Description

Job Summary A Newport Beach property management team is seeking a highly organized Property Management Assistant for a temp-to-hire opportunity supporting a diverse portfolio of commercial properties, luxury vacation rentals, and a private event venue. This role is ideal for an administrative professional who enjoys variety, vendor coordination, tenant communication, scheduling, and keeping property operations running smoothly. The Property Management Assistant will join a stable, collaborative, and supportive team known for strong training, long-tenured employees, and a family-oriented culture. This is a great opportunity to learn multiple areas of property operations while working closely with experienced leadership that values communication, follow-through, and professional growth. Key Responsibilities
  • Provide administrative support for commercial property management operations, including tenant inquiries, maintenance requests, vendor coordination, lease reports, and invoice review.
  • Maintain preventative maintenance calendars and coordinate services such as janitorial, HVAC, window washing, backflow testing, and fire sprinkler inspections.
  • Conduct weekly property inspections, document building conditions with photos, and communicate maintenance needs to the appropriate team members.
  • Support luxury vacation rental administration by preparing rental agreements, managing calendars, processing payments, coordinating guest details, and scheduling housekeeping or vendor services.
  • Assist with event venue administration, including contract preparation, DocuSign routing, deposits, event calendars, Certificates of Insurance, and coordination with maintenance.
  • Manage shared inboxes, prepare Excel reports, scan and organize documents, and support special administrative projects as assigned. Compensation and Benefits
  • Salary range: $45,000 to $55,000 per year.
