Assistant Property Manager Reports To:
Property Manager, Senior VP Property Management The ideal candidate for this position is responsible for supporting all functions provided by the Property Management Department, including direct support of the Vice President, Property Management and the Chief Engineer. This individual should be a motivated self-starter, detail oriented, have good follow-up skills, and the ability to keep those around on task and on schedule. This individual should also be able to function with minimal supervision.
Essential Functions :
- Provides a first line of communication for tenants in all building related matters; responds to and resolves minor problems on an on-going basis;
- Coordinates maintenance requests between tenants and building staff;
- Maintains tenant, vendor and building files and records (digital and paper);
- Creates emergency on-call schedules and annual maintenance calendars; generally provides support for building maintenance personnel;
- Manages move in/out, emergency evacuation and planning, tenant maintenance responsibilities; Support Functions Provides assistance to the Vice President of Property Management to create monthly reports to ownership and drafting/producing annual operating budgets and operating expense reconciliations; Assists in preparation of lease abstracts for new or renewing tenants; Assists with collection of rent, payment of expenses, and compliance with lease terms; Assists the Vice President of Property Management and Chief Engineer in reviewing and bidding contracts in place and to provides insight into cost saving measures; Updates and maintains property operations manuals for each location and manages tenant related activity; • Provides support for Western employees and contract IT and communications vendors; trouble shoots wireless communications issues, providing solutions when able, and contacting and managing vendors when necessary;
Skills and Abilities :
Strong interpersonal and customer service skills; Basic knowledge of building systems and operations, as well as a basic understanding of commercial lease documents; Basic knowledge of building automation and controlled access systems; Solid knowledge of PC operation including Microsoft Office Suite (Word, Excel, Outlook, Power Point), and Adobe; Familiarity with basic property accounting; YARDI experience a plus Practices confidentiality in all communications with and regarding employees and tenants; Ability to work and make decisions independently; Ability to apply logic and common sense to problems solving, document and follow-up Ability to prioritize and manage multiple projects simultaneously; Ability to work well under pressure with strong personalities;
Experience & Education:
Minimum three years' experience in commercial property management; High School Diploma Required; Bachelor's Degree or relevant experience preferred;
Pay:
$69,000.00 - $80,000.00 per year
