HOA Schedule:
40 hours per week, on-site core hours with field/inspection time built in. Position Summary The LCAM is a full-time employee of Springs of Suntree HOA, responsible for the day-to-day administrative, operational, financial, and compliance functions of the association. The LCAM enforces covenants, coordinates with vendors and contractors, supports the Board and its committees, maintains records and the community website, and acts as the primary liaison between homeowners, the Board, and outside agencies. The LCAM operates under the direction of the President and Board of Directors and works autonomously in daily execution. Primary Duties & Responsibilities Covenant Enforcement Inspect the community on a monthly schedule to identify new violations and verify compliance on existing ones. Issue violation letters and maintain an updated violation database and reports. Work with the Due Process committee to verify process of violations. Escalate persistent violations to the Board for approval of attorney letters and fines. Follow up on homeowner complaints and notify violators when appropriate. Process Architectural Review Committee (ARC) requests in coordination with the ARC committee. Administrative & Vendor Coordination Coordinate with the contracted cleaning company on scheduling, scope, and any service issues. Coordinate with the optional maintenance company for occasional tasks as approved by the Board. Maintain association records, files, and correspondence.. Maintain and update the community website and resident portal, ensuring all mandated documents (agendas, minutes, bids, newsletters) are posted. Maintain community calendar and hall rental calendar and schedule rentals as requested. Unlock dumpster on waste management pickup days. Walk the property at the Community Center each morning and check the Grand Hall for cleanliness after rentals. Ensure all required licensing and registrations for the association remain current, including pool permits and DBPR registration. Financial Management Coordinate monthly financial reporting with the CPA. Prepare monthly financial reports for Board review and post them on the website. Oversee accounts receivable and accounts payable processes. Address delinquent homeowner accounts, coordinate attorney lien filings, and manage foreclosure follow-up. Assess quarterly dues and late fees and prepare homeowner statements. Perform monthly bank reconciliations and fund transfers. Process estoppel requests and provide legal certified reports. Monitor and collect San Marino quarterly billings and Brevard County mowing reimbursements. Prepare and send 1099 forms in January for association vendors and process quarterly tax deposits as directed by the CPA. Coordinate reserve fund deposits and verify automatic transfers. Board & Committee Support Assist the President in preparing and posting Board meeting agendas. Attend Board meetings, keep detailed notes, and assist in preparing or reviewing minutes. Prepare monthly Management Reports and Waterways Reports. Solicit bids from at least three qualified vendors when possible, prepare cost comparisons, and submit for Board review. Draft and format contracts for Board signature. Support committees and coordinate with volunteers as directed. Provide support for the annual reserve study and annual budget preparation. Vendor & Project Coordination Meet with contractors to plan work and ensure compliance with project requirements. Obtain certificates of insurance from all vendors. Schedule and oversee repairs to facilities and common elements. Coordinate purchases within budget and Board-approved guidelines. Oversee Board-approved payments and service contracts. Security, Safety & Compliance Act as liaison with law enforcement, county, and state agencies regarding community programs, repairs, vandalism, and safety concerns. Oversee safety and liability issues, including monitoring security cameras and documenting incidents. Notify law enforcement when necessary and retain incident copies for records. Monitor ponds, drop boxes, and pools, reporting issues to the Board and coordinating vendor resolutions. Conduct physical site inspections, including waterways, weir, and fountain schedule, using the association golf cart. Qualifications Active Florida LCAM license. Strong organizational, communication, and leadership skills. Proficient in community association management software (e.g., Buildium). Demonstrated experience in financial reporting, vendor management, covenant enforcement, and Board support. Valid driver's license. Ability to perform on-site inspections including golf cart operation around the property, waterways, and weir.
