In this vital role, you will be responsible for managing the leasing process from initial inquiry to lease signing, ensuring a seamless experience for prospective residents. Your expertise in property leasing, customer service, and legal administrative procedures will help foster positive relationships with tenants and maintain high occupancy rates. The ideal candidate is energetic, proactive, and committed to delivering exceptional service while adhering to fair housing regulations and property policies. Duties Respond promptly to inquiries from prospective tenants via phone, email, or in person, providing comprehensive information about available properties and leasing options. Conduct property tours, highlighting features and benefits to upsell units effectively while addressing tenant needs and preferences. Prepare, review, and negotiate lease agreements, contracts, and related legal documents in compliance with landlord-tenant laws, Fair Housing regulations, LIHTC (Low-Income Housing Tax Credit), Section 8, and other applicable programs. Maintain accurate data entry within property management software such as Yardi or OneSite; update tenant records, lease statuses, and maintenance requests efficiently. Coordinate with maintenance teams to ensure property upkeep and address tenant concerns related to property maintenance or facilities management. Manage conflict resolution with tenants professionally using conflict management techniques; handle disputes with tact and fairness. Conduct regular follow-up with prospective tenants to nurture relationships and promote upselling opportunities; utilize customer relationship management tools effectively. Assist with filing, document organization, and legal administrative tasks related to leasing activities; ensure all paperwork complies with legal standards. Qualifications Proven experience in property management or real estate administrative roles; familiarity with property leasing processes is essential. Strong knowledge of landlord-tenant law, Fair Housing regulations, LIHTC programs, Section 8 housing assistance programs, and related legal requirements. Proficiency in property management software such as Yardi or OneSite; experience with CMMS (Computerized Maintenance Management System) is a plus. Excellent customer service skills combined with professional phone etiquette; ability to build rapport quickly with prospective tenants. Demonstrated ability in negotiation, conflict management, contracts review, and upselling techniques. Office experience including data entry, filing systems, and general administrative support; familiarity with legal documentation is preferred. Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment. Strong communication skills—both written and verbal—and a positive attitude toward teamwork and collaboration.
