Regional Manager, Community Association Operations (Florida) —
Hospitality First Location:
Florida (Venice preferred) Reports to:

~30% in-state; evenings/weekends for key board sessions Role Summary The Regional Manager leads a multi-community HOA/Condo portfolio in Florida, integrating hospitality-grade service with rigorous compliance under Florida Statutes 718 and 720 . You'll elevate resident experience, ensure board confidence, and drive operational and financial performance across assigned associations. This role is ideal for a hospitality leader (hotel/club/resort/golf) who also understands—or is eager to master—HOA operations.
Hospitality Priority:
We are specifically seeking candidates with proven leadership in hotels, private clubs, resorts, or golf operations who can translate service culture, training, and standards into association management. Key Responsibilities1) Portfolio Operations & Service Culture Set and enforce service standards (response SLAs, tone, escalation paths) that reflect a hospitality-first experience. Run weekly site walk-throughs and monthly quality reviews (entries, amenities, streetscapes) with punch-list close-outs. Publish a monthly "Aesthetics & Amenity" dashboard for boards and developer partners. 2) Governance & Compliance (FS 718/720; DBPR) Plan and conduct board, budget, annual, and special meetings per statute and governing documents. Guide boards on fiduciary duties, rule adoption/enforcement, and due process. Ensure timely notices, minutes, elections, filings, and official records compliance. 3) Financial Stewardship Lead annual budgets, reserve planning, and monthly closes; deliver clear variance narratives (not just numbers). Oversee AP/AR controls, delinquency reduction, audits, and special assessments. Partner with CFO/accounting to ensure accuracy, transparency, and timely reporting. 4) Vendor & Contract Management Scope, bid, and manage contracts (landscape, lake/lagoon, access control, janitorial, security, pool, MEP). Enforce performance KPIs and insurance/licensing requirements; rebid underperformance. 5) Property, Maintenance & Capital Establish inspection cadence for common areas, amenities, and life-safety systems. Coordinate repairs, renovations, and capital projects with permitting and code compliance. Implement drought-season and storm readiness plans; manage post-event recovery. 6) Stakeholder & Resident Relations Serve as primary contact for boards, developer partners, and residents; resolve escalations with diplomacy.
Publish proactive communications:
newsletters, portal updates, town halls— hospitality tone first . Balance enforcement with coaching to maintain standards and goodwill. 7) Insurance, Risk & Records Maintain appropriate coverages (property, GL, D&O, flood where applicable); manage claims with adjusters/counsel. Ensure statutory record retention and timely owner record requests. Drive tech stack adoption (e.g., CINC Systems, AvidXchange, portals) and KPI dashboards. 8) Talent & Team Development Recruit, coach, schedule, and performance-manage LCAMs and site teams. Deliver training on service scripts, de-escalation, FS 718/720 compliance, ARC, and vendor oversight. Build succession plans and recognition programs tied to KPIs. New Community Setup — Deliverables (Day 0-90)
Utility Setup:
Establish HOA accounts (water/sewer/reclaimed, electric, gas, internet); verify meters/zones; emergency contact trees.
Gates & Access:
Commission hardware; configure credentialing/visitor platform; after-hours protocols and service standards.
ARC Program Launch:
Finalize guidelines, forms, and portal workflow; set SLAs and approval/denial templates.
Welcome Packages:
Digital/print kits—community standards quick guide, portal login/payment, trash/recycling, access steps, contact directory.
Startup Financials:
Open operating/reserve accounts; adopt initial budget/assessments; vendor onboarding; insurance binders; AP/AR controls.
Pre-Landscaping Meetings & Walkthroughs:
Irrigation audits; plant schedules/mulch cycles; turnover punch lists with dated closeouts.
Clubhouse COs & Warranty Items:
Track COs; compile close-out documents; warranty tracker/SLA; schedule 30/60/90-day punch walks. Success Metrics (What You'll Be Measured On)
Resident Experience:
NPS ≥ 75; first response ≤ 1 business day; resolution SLAs ≥ 90%
Governance:
100% on-time budgets, elections, notices, filings
Financials:
On-time monthly closes 100%; >120-day delinquency < 2%; clean audits
Aesthetics:
Monthly index ≥ 95% (entries, amenities, streetscapes)
ARC:
Median decision time ≤ 10 business days; repeat violations down ≥ 20%
Vendors:
Scorecards ≥ 90% or rebid plan within 30 days
Retention/Growth:
Portfolio renewal ≥ 95%; successful onboarding of new communities QualificationsRequired Active Florida LCAM (Community Association Manager) license Hospitality leadership background (hotel, private club, resort, or golf) with direct team supervision and guest-experience accountability 5-7+ years combined HOA/Condo and/or hospitality leadership; 2-3+ years managing multi-site teams or multiple boards Proven knowledge of Florida Statutes 718 & 720 and DBPR requirements Strong financial acumen (budgets, reserves, AP/AR, audits); excellent written and verbal communication Proficiency with CINC Systems , AvidXchange , association portals, and MS Office (Excel, Word, PowerPoint, Outlook) Ability to work evenings/weekends as needed; valid driver's license and reliable transportation; background check Preferred CAI designations (e.g., PCAM , AMS , CMCA ) Experience leading capital projects and complex vendor programs Process improvement exposure (Lean/Six Sigma) and KPI dashboarding
