Retail Property Manager West Palm Beach, Florida Retail Property Leadership 20789 Property Management Job Description Responsibilities Related Ross is seeking a Retail Property Manager to lead the operations of CityPlace. This role is responsible for the property's overall performance, including operations, financial management, tenant relations, and vendor oversight. The ideal candidate will balance ownership objectives with tenant needs, guide staff and contractors, and stay ahead of market trends to enhance the value and experience of this premier retail destination. CityPlace is a dynamic shopping, dining and entertainment destination located in the heart of downtown West Palm Beach. Since its creation in 2000, CityPlace has transformed into a well-connected neighborhood that is committed to working with the best local artists, chefs, creatives, entrepreneurs and fitness enthusiasts—culminating in an exceptional district to live, work and visit in South Florida.
Responsibilities:
Tenant Relations Manage the tenant experience from execution of new tenant protocol through the life of the lease, including regular and emergency communication, timely resolution of concerns, and assistance with unique or special needs Provide excellent customer service to tenants through proactive, results-driven interactions by effectively partnering with the Customer Experience team Conduct regular inspections of common areas and tenant spaces Lease Management & Compliance Maintain a complete understanding of all lease agreements, amendments, and contracts (including Homeowners Associations) Prepare and maintain accurate tenant lease files, correspondence, and compliance records in accordance with company policy and legal requirements Financial & Accounting Create annual operating budgets and long-term CapEx/OpEx planning Analyze financial statements on an ongoing basis, including monthly accruals, monthly variance reports and reforecasts of revenue, expenses, and capital expenditures Lead expense management efforts, including continual assessment of contracts and services Review, code, and approve invoices; support monthly reporting processes Control expenses by negotiating contracts, authorizing expenditures, and reviewing profit-and-loss statements Maintenance & Operations Oversee daily property operations including repairs and maintenance (R&M), preventative maintenance, janitorial services, security, landscaping, and utility management Utility Management, including meter readings, repairs, and communication with RES and tenants Manage vendor performance through bid processes, contract negotiation, renewals, and service delivery Respond to and manage emergency calls, disputes, and crisis situations; participate in developing and implementing crisis management plans with appropriate groups and city departments Execute large-scale capital projects in coordination with the Director of Engineering and ownership Additional Responsibilities Create, implement and manage SOPs and best practices ensuring all asset functions clearly understand duties and responsibilities On an ongoing basis, assess operation risks and recommend strategies to mitigate them. Be proactive in advising senior management of issues/opportunities that may have meaningful economic consequence. In coordination with Marketing, manage special events including common area activity, tenant outreach and holiday décor. Build and maintain strong relationships across the organization, ensuring honest, timely and transparent communication Support with special projects and initiatives as requested
Qualifications Qualifications:
5+ years of experience in shopping centers or equivalent retail / mixed use environment Bachelor's degree preferred Financial acumen including analysis of budgets, variance reports, expense controls, and industry ratios and standards Ability to monitor and develop staff to ensure the smooth operation of the center; leadership experience and staff development experience is a must Ability to communicate effectively with tenants, vendors, employees and managers regarding center operations or personnel issues to ensure the smooth operation of the center Must be flexible to respond to emergencies after-hours, as needed
