Job Description

Position Summary The Assistant Community Manager supports the day-to-day operations of assigned homeowners associations (HOAs) and condominium associations managed by Association Link LLC. This onsite position assists the Community Manager with homeowner relations, covenant enforcement, vendor coordination, administrative operations, board communication, and community event support to help maintain an organized, responsive, and well-managed community environment. Essential Duties and Responsibilities Assist the Community Manager with daily HOA operations and resident services. Respond to homeowner inquiries by phone, email, and in person in a professional and timely manner. Maintain homeowner records, architectural requests, violation notices, and association files. Conduct regular property inspections to identify maintenance issues and covenant violations. Prepare and distribute violation letters, community notices, newsletters, and meeting materials. Coordinate vendor access, service schedules, and follow-up on maintenance requests. Assist with obtaining vendor proposals and tracking completed work. Support preparation for Board of Directors meetings, annual meetings, and committee meetings. Take meeting notes and assist with preparation of agendas and management reports. Process work orders, amenity reservations, and community requests. Monitor common areas and amenities to ensure community standards are maintained. Assist with budget tracking, invoice processing, and collection follow-up as directed. Support emergency response communications during community incidents or weather events. Maintain confidentiality of homeowner and association information. Perform additional administrative and operational duties as assigned. Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred. Previous HOA, property management, customer service, administrative, or real estate experience preferred. Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment. Professional demeanor and conflict-resolution skills. Proficiency in Microsoft Office, including Outlook, Word, and Excel. Ability to work independently and collaboratively with board members, homeowners, and vendors. Valid driver's license and reliable transportation preferred. Preferred Skills Knowledge of HOA governing documents and covenant enforcement processes. Experience with property management software or association management systems. Ability to read and interpret contracts, policies, and association governing documents. Strong customer service and resident-relations abilities. Physical Requirements Ability to walk community grounds for inspections. Ability to occasionally lift up to 25 pounds. Ability to work onsite during regular business hours and attend occasional evening board meetings. Work Environment This position is primarily onsite within managed HOA communities and may require occasional travel between association properties and attendance at evening meetings or community events.
Pay:
$15.00 - $18.00 per hour
