This role manages the day-to-day operations of an assigned property including managing the team members, daily activities, and resources of the property to achieve established budgeted financial and operational goals, and ensures that the operation of the property complies with Company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and other laws and regulations governing multi-family housing operations.JOB DESCRIPTION
Completes daily financial transactions and operational tasks for the community, including collecting and posting rent, fees, and other payments; preparing bank deposits; reconciling accounts; generating financial reports; and processing invoices and payables. Prepares and completes required accounting, financial, administrative, and operational reports, and performs other duties as assigned. Reviews, codes, and approves invoices from vendors, contractors, and service providers by reconciling work performed or products purchased, ensuring appropriate documentation (including certificates of insurance where applicable), obtaining necessary approvals, and coordinating with accounting, vendors, and ownership as needed. Operates property management systems (Entrata/Yardi) to accurately enter, update, and maintain data integrity, including completing all required fields and performing system updates and back-ups. Reviews resident files and account records to identify unpaid balances and late fees; communicates with residents regarding outstanding balances; and implements and enforces delinquency collection procedures in accordance with lease terms. Oversees lease enforcement processes, including application approvals, lease renewals, inspections, late fee assessments, and evictions, ensuring compliance with company policies and legal requirements. Executes eviction processes in accordance with company procedures and legal requirements, including preparing and serving notices and representing the community in court proceedings as required. Processes resident move-outs by reviewing lease terms and notice requirements, applying appropriate fees, and completing disposition activities in compliance with company standards and legal guidelines. Promotes resident satisfaction and retention by responding to inquiries, concerns, and service requests in a timely manner, resolving issues effectively, and ensuring maintenance team compliance with service standards. Acts as the on-site leader in the absence of the Community Manager by prioritizing and delegating daily tasks, coordinating with maintenance, and ensuring smooth and compliant community operations. Assists with due diligence and property takeovers by completing file audits, unit inspections, interviews, and onboarding activities. Supports client/owner relationships by participating in meetings, conducting property tours, providing performance updates, and responding to owner requests in a professional and timely manner. Contributes to budget development by analyzing financial statements, reviewing operational and market data, and identifying historical and projected performance trends. Supports revenue performance by ensuring timely rent collection, accurate financial reporting, and adherence to established financial goals and procedures. Assists with marketing and online presence initiatives, including setting up and maintaining social media accounts, supporting digital advertising efforts, and optimizing online listings. Monitors online reputation platforms and provides guidance to on-site teams on appropriate response strategies.California Only:
Ensures lease documentation compliance by utilizing the California Lease File Checklist to maintain complete, accurate, and organized lease files.BASIC KNOWLEDGE & QUALIFICATIONS
- 4-6 years minimum of relevant experience that demonstrates the application of property management, sales, marketing, and customer service background sufficient to manage the day-to-day operation of an apartment community, resolve customer complaints and issues, complete financial records, documents, and reports, increase sales revenues, and coordinate the work of a team
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent communication, conflict resolution, and customer service skills.
- Detail-oriented and self-motivated with the ability to work independently, as a leader, and as a collaborative member of a team.
SPECIALIZED SKILLS
- Incumbents must have all licenses and/or certifications as required by State and Local jurisdictions.
- Incumbents must have valid driver's license to drive a golf cart on property and must ensure all other on-site staff that has access to drive the golf cart also has a valid driver's license.
- Proficiency in Internet, word processing, spreadsheet, and database management programs in order to complete required reports and employment documents.
- Strong proficiency in using property management software (preferably Entrata and Yardi).
- Management and supervisory skills sufficient to hire, lead, direct, evaluate, and manage subordinate and team members, including maintenance specialists.
TRAVEL / PHYSICAL DEMANDS
- Team members work in an office environment but also may have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous. Incumbents must be able to physically access all exterior and interior parts of the property and amenities.
- Incumbents must be able to physically access all exterior and interior parts of the community and amenities.
- Incumbents must be able to push, pull, lift, carry, or maneuver weights of up to twenty (20) pounds independently and fifty (50) pounds with assistance.
- Routine, local travel may be required to make bank deposits, attend training classes and outreach events, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.
Additional Compensation:
Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.Corporate Positions:
In addition to the base salary, this role may be eligible to participate in a quarterly or annual bonus program based on individual and company performance.Onsite Property Positions:
