ASSISTANT PROPERTY MANAGER
Family-owned and operated real estate company based in Cambridge & Newton, MA seeks Assistant Property Manager to support the day-to-day operations of a portfolio of Commercial and Residential properties. The team is looking for a highly motivated Property Management Assistant. Reporting to the Assistant Property Managers, this position will support the property management team in day-to-day operations, providing outstanding service to our tenants and customers. The position will be responsible for property operations including but not limited to maintaining vendor relationships, contract management, property inspections, and oversight of daily property maintenance. Serve as liaison between customers, vendors, corporate and leasing personnel.Required Responsibilities:
Tenant Relationship Management Assist in establishing and maintaining best in class tenant relations Promotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner, and taking appropriate action to resolve and address service issues Operations Conduct routine property inspections Create work orders based off findings during inspections Ensure cleanliness of the exterior and interior is being properly maintained- Conduct or assist with move‑out inspections , documenting condition, damages, and required repairs
- Coordinate unit turnover schedules , ensuring vendors and maintenance teams are aligned
- Track progress of cleaning, repairs, painting, and other turnover tasks
- Prepare units for new tenants by verifying completion of all turnover work and ensuring readiness standards are met
- Maintain detailed turnover records, including photos, checklists, on Breezeway
- Help manage rent collection, late notices, and basic accounting tasks
- Prepare reports, correspondence, and documentation for the Property Manager
- Assist with budgeting, expense tracking, and invoice processing Leasing
- Assist with creating and posting rental listings across online platforms and marketing channels
- Maintain accurate and appealing unit descriptions, photos, and availability information
- Respond promptly to leasing inquiries and schedule property tours
- Conduct or support unit showings, providing prospective tenants with property information and application guidance
- Process rental applications, conduct preliminary screening steps, and prepare lease documents for review
- Track leasing activity, update vacancy reports, and support efforts to reduce turnover time
