This role serves as the primary point of contact for the Board of Trustees and unit owners. The SCPM ensures full compliance with governing documents, applicable laws, safety standards, and contracted service levels. Key Responsibilities Board & Association Management Serve as the primary liaison between the Board of Trustees and property management. Attend board meetings, annual meetings, and committee meetings as required. Prepare meeting agendas, board packages, and management reports. Provide guidance to the Board on best practices, governing documents, risk management, and operational decisions. Track decisions, action items, and follow-up items through meeting minutes and task logs. Resident Services & Communication Maintain professional communication with unit owners, residents, and tenants. Respond to owner inquiries, disputes, and complaints in a timely and professional manner. Enforce rules and regulations consistently and fairly, including compliance notices and violation tracking. Support move-in/move-out processes, resident access controls, and building policies. Vendor, Maintenance, and Project Oversight Request bids, award contracts with board approval, and manage vendor performance. Coordinate repairs, preventative maintenance, and emergency response. Conduct regular property inspections and document findings. Manage capital projects from planning through completion, including timelines, approvals, and change orders. Ensure vendors meet insurance, licensing, and compliance requirements. Financial Oversight & Administrative Control Work closely with accounting to support budgets, invoices, and association financial reporting. Assist in annual budget development, reserve planning, and year-end preparation. Review financial packages and support board financial questions. Approve vendor invoices according to internal procedures and board policies. Coordinate collection efforts for delinquent accounts in partnership with accounting/legal counsel. Compliance, Risk, and Documentation Ensure community operations align with the Master Deed, Declaration of Trust, Bylaws, and Rules/Regulations. Coordinate insurance claims and loss events with carriers, adjusters, and restoration vendors. Maintain records, notices, contracts, permits, inspection reports, and compliance files. Coordinate fire/life safety inspections, elevator inspections, backflow testing, and other recurring compliance requirements. Operational Management & Systems Use property management software (AppFolio.) to document work orders, violations, vendor communications, and resident requests. Maintain association files and ensure accurate property records. Support internal reporting, operational KPIs, and portfolio performance expectations. Qualifications Required 3 to 7+ years of condominium or HOA property management experience Strong knowledge of condominium operations, board governance, and building systems Experience managing multiple properties or a portfolio environment Proven ability to manage conflict, resident issues, and sensitive communications professionally Strong organization skills, follow-up discipline, and task management Proficiency with property management software (AppFolio preferred) Valid driver's license and reliable transportation Preferred CMCA, AMS, PCAM, or other industry certification Experience managing large or complex condo communities (multi-building, elevators, garage, amenities) Strong capital project and vendor bid management background Familiarity with Massachusetts condominium operations and common compliance requirements Core Skills & Competencies Board and stakeholder management Financial understanding (budgets, collections, reserves, invoices) Vendor negotiation and performance oversight Strong written communication and resident relations Contract administration and compliance tracking Crisis response and emergency coordination Organization, accountability, and follow-through Work Schedule & Expectations Standard business hours with flexibility based on meetings and property needs Periodic evening meetings (Board/Annual Meetings) Rotating emergency/on-call support depending on company structure Field visits and property inspections required Compensation & Benefits Competitive salary based on experience Bonus eligibility Health, dental, vision 401(k) / retirement plan Paid time off and holidays Mileage reimbursement / vehicle allowance Continuing education support and certification reimbursement
