Property or Leasing Administrator Job Description The Property or Leasing Administrator supports day-to-day leasing and property operations by managing tenant communications, coordinating tours, processing applications and lease documents, and providing comprehensive administrative support. This role serves as a key point of contact for prospective and current tenants, ensures accurate recordkeeping, and helps maintain smooth property management processes across multiple locations. Responsibilities Schedule and coordinate property tours for prospective tenants and ensure a professional and welcoming experience. Respond promptly to leasing inquiries via phone, email, and online platforms, providing accurate information about available units and leasing terms. Prepare lease agreements, renewals, amendments, and move-in documentation in accordance with company policies and applicable regulations. Process rental applications, verify applicant information, and coordinate background and credit screenings. Maintain accurate and up-to-date leasing records while ensuring compliance with company policies and relevant regulations. Monitor lease expiration dates and assist with renewal outreach to retain tenants and minimize vacancy. Serve as the primary point of contact for tenant questions, concerns, and administrative requests, delivering excellent customer service. Coordinate maintenance requests with vendors and internal personnel, track work order completion, and follow up to ensure timely resolution. Maintain organized tenant files, property records, insurance certificates, and vendor documentation. Assist with move-in and move-out inspections and documentation to ensure accurate condition records and smooth transitions. Support rent collection processes and maintain accurate payment records, including tracking and documenting transactions. Assist with vendor scheduling, processing invoices, preparing purchase orders, and supporting administrative reporting related to property operations. Prepare reports, correspondence, spreadsheets, and presentations to support property management activities and decision-making. Maintain filing systems and electronic property management databases to ensure information is easily accessible and well-organized. Order office supplies and coordinate day-to-day administrative operations for the property management office. Support property managers with special projects and operational initiatives as needed. Ensure confidentiality and proper handling of tenant and company information at all times. Essential Skills High school diploma or equivalent required. 2+ years of administrative, leasing, property management, or real estate experience preferred. Customer service experience with a strong focus on tenant satisfaction. Experience in leasing or property management environments. Strong proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and Teams. Excellent written and verbal communication skills. Strong organizational skills with exceptional attention to detail. Ability to manage multiple priorities and deadlines with minimal supervision. Professional demeanor with excellent customer service and interpersonal skills. Ability to work across multiple property locations as needed. Additional Skills & Qualifications Associate's or Bachelor's degree in a related field is preferred. Previous experience in residential or commercial property management is preferred. Knowledge of Fair Housing regulations and leasing best practices is an advantage. Experience with property management software such as AppFolio, Yardi, Buildium, Rent Manager, MRI, or similar platforms is a plus. Experience coordinating vendors and maintenance activities is beneficial. Bilingual abilities are a plus and can enhance tenant communication. Job Type & Location This is a Contract position based out of Silver Spring, MD. Pay and Benefits The pay range for this position is $22.00 - $25.00/hr.
