Director of Operations Bonus Incentives Position Summary The Office Administrator / Property Manager serves as the primary administrative support for our growing property management operations. This individual is responsible for managing day-to-day office activities, coordinating tenant communications, scheduling maintenance, assisting with leasing, and ensuring our rental properties operate efficiently. The ideal candidate is organized, self-motivated, customer-focused, and able to balance multiple priorities in a fast-paced environment. This role is essential to providing excellent service to our tenants while supporting the continued growth of our organization. Essential Responsibilities Property Management Serve as the primary point of contact for tenant questions and concerns. Receive, document, and coordinate maintenance requests. Schedule work orders with maintenance staff and outside vendors. Follow up with tenants to ensure repairs have been completed satisfactorily. Schedule and conduct property showings for prospective tenants. Assist with rental applications and assist with applicant screening. Assist with preparing lease agreements and move-in documentation. Coordinate move-ins and move-outs. Assist with unit inspections and turnover scheduling. Maintain accurate tenant files and lease documentation. Update property management software with tenant, maintenance, and leasing information. Help market available rental units across various platforms. Office Administration Answer incoming telephone calls and greet office visitors. Respond professionally to emails and general correspondence. Maintain calendars, appointments, and scheduling. Organize and maintain office filing systems. Prepare letters, notices, reports, and other business documents. Order office supplies and maintain office organization. Assist with data entry and record management. Support various departments with administrative projects. Perform additional duties as assigned. Customer Service Provide exceptional customer service to tenants, vendors, and prospective residents. Build positive relationships through professional communication. Resolve issues promptly and professionally. Represent the company in a courteous and professional manner. Qualifications Required High school diploma or GED. Minimum of two years of administrative or office experience. Excellent organizational and multitasking abilities. Strong written and verbal communication skills. Proficiency with Microsoft Office (Word, Excel, Outlook). Ability to work independently with minimal supervision. Valid driver's license and reliable transportation. Preferred Previous property management experience. Experience using AppFolio or similar property management software. Leasing experience. Experience coordinating maintenance or service scheduling. Knowledge of Fair Housing practices (training can be provided). Skills & Abilities Strong attention to detail. Excellent time management. Ability to prioritize multiple projects. Professional phone etiquette. Problem-solving mindset. Positive attitude and willingness to learn. Ability to maintain confidentiality. Dependable and reliable work ethic. Physical Requirements Ability to sit, stand, and walk throughout the workday. Occasionally lift to 25 pounds. Travel locally between company properties for showings, inspections, or meetings as needed.
