This role requires strong organizational skills, consistent follow-up, professionalism in all communications, and a high sense of urgency to ensure properties operate efficiently and tenant and vendor needs are addressed promptly. Key Responsibilities Assist the Vice President of Property Management with scheduling maintenance, repairs, inspections, and vendor services Track work orders from initiation through completion, ensuring timely follow-up and resolution Coordinate access to properties for vendors, contractors, and internal teams Prepare, update, and maintain work orders, logs, and service requests Vendor Coordination Communicate regularly with vendors and contractors regarding schedules, scopes of work, and completion status Follow up on outstanding vendor items to ensure deadlines and service standards are met Assist with collecting invoices, confirming work completion, supporting vendor compliance documentation and invoice revisions Tracking & Reporting Update internal tracking systems, spreadsheets, and property management software with accurate and timely information Maintain organized records related to maintenance activity, vendor performance, and property operations Professional Standards Represent the company with professionalism, discretion, and responsiveness at all times Demonstrate a strong sense of urgency and accountability when addressing issues and follow-ups Support a collaborative team environment while managing multiple priorities effectively Qualifications 1-3 years of experience in property management, real estate, or administrative support (commercial preferred) Strong organizational skills and attention to detail Excellent written and verbal communication skills Proficiency in Microsoft Office (Excel, Word, Outlook); experience with property management software a plus Ability to prioritize tasks, meet deadlines, and follow through consistently Professional demeanor with a proactive, problem-solving mindset
