This position will be responsible for the day-to-day management, financial performance, tenant relations, maintenance oversight, vendor coordination, and overall operational execution across a diverse portfolio of commercial properties. The ideal candidate is highly organized, proactive, and capable of managing multiple properties and projects across different markets. This individual must be comfortable working in a fast-paced entrepreneurial environment and taking ownership of property operations, tenant issues, vendor relationships, and portfolio performance. Key ResponsibilitiesPortfolio & Property Operations Oversee the day-to-day operations of a multi-state commercial real estate portfolio, including office, retail, industrial, and other commercial assets. Ensure properties are professionally maintained, operating efficiently, and presented in a manner consistent with ownership standards. Conduct regular property inspections and coordinate corrective action as needed. Develop and implement operational procedures to improve efficiency and tenant satisfaction across the portfolio. Assist ownership with asset-level strategy, budgeting, capital planning, and operational decision-making. Tenant Relations & Leasing Support Serve as the primary point of contact for tenants regarding property operations, maintenance requests, lease-related matters, and general tenant concerns. Build strong tenant relationships and work proactively to improve tenant retention. Coordinate tenant move-ins, move-outs, renewals, and day-to-day communication. Work alongside leasing brokers, ownership, and internal staff to support occupancy goals and leasing activity. Maintenance, Repairs & Capital Projects Coordinate and oversee maintenance personnel, outside contractors, and vendors to ensure timely completion of repairs and property projects. Manage service contracts and vendor relationships for landscaping, janitorial, HVAC, security, snow removal, and general building services. Solicit bids, review scopes, and negotiate vendor pricing when appropriate. Oversee property improvement projects, tenant buildouts, deferred maintenance items, and capital expenditure work from budgeting through completion. Ensure work is completed on time, within budget, and to ownership's standards. Financial & Administrative Oversight Prepare and manage annual property operating budgets in coordination with ownership. Review monthly financial reports, invoices, CAM reconciliations, rent rolls, delinquency reports, and operating statements. Monitor property expenses, identify cost-saving opportunities, and maintain budget discipline. Work closely with accounting to ensure timely rent collection, vendor payments, tenant bill-backs, and accurate property reporting. Assist with annual budget planning, forecasting, and financial analysis for the portfolio. Compliance & Risk Management Ensure properties are operated in compliance with lease obligations, local ordinances, insurance requirements, and applicable regulations. Maintain organized property files, contracts, service agreements, certificates of insurance, and vendor documentation. Coordinate with legal, insurance, and ownership teams on claims, disputes, and risk management matters as needed. Help ensure life safety, security, and maintenance standards are upheld across the portfolio. Qualifications 5+ years of commercial property management experience preferred, ideally with responsibility over multiple assets or a regional portfolio. Experience managing commercial real estate assets , including office, retail, industrial, flex, or mixed-use properties. Strong understanding of property operations, tenant relations, budgeting, maintenance coordination, lease administration, and vendor management. Ability to manage multiple priorities, properties, and deadlines across several markets. Strong communication and problem-solving skills with the ability to interact professionally with tenants, vendors, contractors, brokers, and ownership. Proficient with Microsoft Office, including Excel, Word, and Outlook. Experience with property management/accounting software is preferred. Ability to travel periodically to properties within the portfolio as needed. Preferred Traits Self-starter who takes ownership and can operate with limited oversight. Strong sense of urgency and follow-through. Comfortable in an entrepreneurial, fast-moving real estate environment. Compensation Compensation will be based on experience and qualifications and may include salary, bonus potential, and other incentives based on portfolio performance and responsibilities.
