They own and operate a growing mixed portfolio of 400+ tenants across residential and commercial properties, including office, warehouse, retail, and NNN assets. We are seeking a hands-on operator to run the day-to-day back-office operations of the portfolio. This role works directly with ownership in a small, focused office environment and is responsible for keeping everything organized and moving across tenants, properties, vendors, and systems. The Role You will take ownership of the full tenant lifecycle, acting as the face of ownership in all tenant interactions. You will manage relationships, coordinate maintenance and vendors, handle collections, and keep operations running efficiently in AppFolio—leveraging its full suite of automation tools and workflows to standardize processes, improve response times, and maintain operational discipline across the portfolio. You will also supervise two on-site supers/maintenance technicians and serve as the central point of contact for the portfolio, ensuring a well-run and professional operation. What You'll Be Doing Lease Administration & Tenant Lifecycle Manage the full tenant lifecycle: application → approval → move-in → payment → renewal → move-out Coordinate leasing, turnovers, and unit readiness Handle tenant communication, issues, and escalations directly Manage collections and follow up on delinquencies Improve property-level performance by optimizing income and controlling expenses AppFolio & Day-to-Day Operations Maintain accurate, organized records in AppFolio Communicate with tenants through the platform Build and optimize workflows for leasing, maintenance, and communication Track rent roll, occupancy, and overall portfolio performance Ensure no tasks, follow-ups, or details fall through the cracks Maintenance & Field Coordination Manage all maintenance requests through the portal Coordinate directly with two on-site supers/maintenance staff Track progress and ensure work is completed properly and on time Follow up with tenants post-repair when needed Vendors & Contracts Manage vendor relationships (snow removal, exterminators, contractors, etc.) Run annual bids and provide recommendations Hold vendors accountable to scope, pricing, and quality Commercial / CAM Work Handle CAM tracking and annual reconciliations for commercial/NNN tenants Interpret lease terms and allocate expenses accurately Address tenant questions related to charges and reconciliations Inspections, Buildouts & Turnovers Coordinate inspections and monitor property conditions Oversee buildouts and capital improvements Manage turnovers, including pricing strategy and rent comps What We Are Looking For Experience 5+ years of hands-on property management or real estate operations experience Experience managing 100+ units/tenants (mixed portfolio strongly preferred) Strong working knowledge of AppFolio, with at least 3 years of hands-on experience, including workflow automation, task management, and system optimization Experience with commercial leases and NNN properties Profile Hands-on and comfortable owning day-to-day operations Highly organized and detail-oriented Strong interpersonal skills with tenants, vendors, and ownership Able to manage a small team while remaining directly involved in execution Proactive problem-solver who takes initiative without needing direction What Success Looks Like Rent is collected consistently and on time Maintenance requests are addressed promptly and tracked through completion Tenant communication is clear, timely, and professional Systems within AppFolio are accurate, organized, and fully utilized Ownership is not required to manage day-to-day issues Additional Information This search is being conducted confidentially.
