This role is vital in ensuring smooth office operations, providing exceptional support to management and staff, and maintaining an efficient work environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. Bilingual abilities are a plus, as this role involves interacting with diverse clients and team members. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately. Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping. Maintain organized filing systems—both physical and digital—to ensure quick retrieval of documents. Support office management activities including calendar management, scheduling appointments, and coordinating meetings. Provide customer support through prompt responses to inquiries, ensuring excellent service standards are met. Assist with clerical tasks such as proofreading documents, preparing reports, and managing correspondence. Handle bookkeeping duties using QuickBooks to track expenses, invoices, and financial records. Support personal assistant functions including calendar management and task prioritization for executives or team leaders. Qualifications Proven office experience with strong clerical and administrative skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and computer literacy overall. Experience with QuickBooks or similar accounting software is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment. Strong typing skills along with attention to detail for proofreading and data entry accuracy. Exceptional phone etiquette and customer service skills to handle inquiries professionally. Bilingual abilities are preferred to facilitate communication with diverse clients and team members. Previous experience at a front desk or in office management roles is advantageous. Ability to manage multi-line phone systems efficiently while maintaining professionalism at all times.
