Job Description

DESCRIPTION
PMI Green Country is seeking a Community Association Manager to join our growing team. The Community Association Manager will manage multiple homeowner associations according to the CC&R's and Bylaws governing each association. This position will require some evening or weekend board meetings. Are you tired of working in the big company corporate environment? Community Association Management requires a diverse skill set and strong people skills. You will be managing on behalf of boards of directors for a portfolio of homeowner's and/or condominium associations. To be successful at this role you must be highly organized, flexible, have strong verbal and written communication skills, possess a proactive approach to dealing with problems, and have the ability to maintain a professional demeanor under stressful conditions. Candidates should be comfortable with board mentoring, vendor management, coordination of support services, financial management and budgeting, have strong computer skills, and be the kind of person that is naturally good at resolving conflict. As a small company it is imperative that you are a team player and are willing to jump in and help wherever needed to take care of our clients. This is a Full Time position in
Broken Arrow, OK Essential Duties and Responsibilities:
  • Work closely with your clients (Board of Directors) to manage your assigned communities and complete administrative and management duties in accordance with the management agreement and governing documents
  • Must be very responsive to Homeowners, Vendors, Board Members, Rental managers, and Committee Members and be the type of person that stays on top of tasks and follows up to get things done. Will always conduct business with the highest standards of personal, professional and ethical conduct.
  • Create and maintain great relationships with Board Members and Homeowners to foster harmony within the communities we support while also protecting property values
  • Responsible for understanding Homeowner Association CC&R's & bylaws and answering questions about the same.
  • Conduct site inspections regularly to maintain knowledge of the property and observe performance of the client's contractors. Identify deficiencies and provide recommendations and action plans in order to improve the property. Maintain strict enforcement of community covenants, rules, and regulations. Process and manage violations and close them out regularly.
  • Attend Board meetings per the management agreement and community events as needed. May require some evenings and limited weekend work as well.
  • Assist Board of Directors with architectural review process by processing architectural control applications for review and following up to close them out in a timely manner.
  • Prepare annual budgets & make recommendations to the Association Board.
  • Prepare and review monthly financial reports for accuracy
  • Monitor aging report and work with the boards to take timely action as directed.
  • Maintain knowledge and understanding of the contract between the association and PMI Green Country. Ensure all contractual obligations are being met.
  • Oversee all contractors for ongoing maintenance or services to the community such as landscape firms, pest control services, HVAC services, pool management groups, security services & cleaning services.
  • Monitor vendor contracts regularly, submit renewal/cancellation notices, manage contract renewals professionally and advise management of any upcoming insurance renewals or lapse in coverage.
  • Seek Estimates and Proposals as requested by Clients including selecting contractors. Prepare bid comparison analysis and present to Client for review.
  • Stay current with best industry practices, as well as all current applicable laws and educate boards on same by participating in training programs and webinars as required
  • Maintain consistent office hours
  • Perform any range of special projects, tasks and all other related duties as assigned including acting as a backup for the residential management side of the business when needed. Qualifications
  • CAM license preferred.
  • 1-5 years of community association management (HOA) experience (not multi-family related) is desired
  • Associate degree required; Four-year degree from an accredited college or university with relevant coursework preferred.
  • Must be comfortable working in a fast-paced multi-tasked environment where things are not always well defined up front.
  • Proficient knowledge of Microsoft Office including Word, Excel as well as experience working with G-Suite (Gmail, Drive, Calendar, etc.).
  • Comfortable learning new software systems - experience with any of the following is a plus: CINC.
  • Ability to research problems, prepare written recommendations and compose correspondence.
  • Valid OK Driver's License and proof of valid auto insurance.
  • Reliable transportation required.
  • Exceptional communication skills both written and verbal with a polished, professional and friendly demeanor. Ability to resolve conflict and handle difficult people and conversations.

  • Time management and effective organizational skills are a must
  • Willingness to Work Evenings and limited weekends when necessary
