Job Description
Job Summary The On-Site Property Manager is responsible for overseeing the daily operations of a residential apartment community, ensuring efficient property performance, resident satisfaction, regulatory compliance, and maintenance of the physical asset. This role manages leasing operations, resident relations, rent collections, property inspections, maintenance coordination, staff oversight, vendor management, and emergency response while maintaining a safe, professional, and well-managed community environment. The Property Manager works under the direction of the District Portfolio Manager and collaborates closely with residents, vendors, maintenance teams, and corporate staff to maximize occupancy, resident retention, and overall property performance. Essential Responsibilities Property Operations & Management Oversee the daily operations of the assigned apartment community Maintain the physical asset and maximize financial performance in alignment with ownership objectives Ensure compliance with company policies, Fair Housing laws, Landlord-Tenant laws, and other applicable regulations Maintain accurate resident, leasing, financial, and operational records with strict confidentiality Utilize AppFolio and other property management software to complete reports, inspections, rent tracking, and resident documentation Conduct regular inspections of units, common areas, grounds, and safety equipment, including smoke detectors Ensure grounds and common areas remain clean, safe, secure, and well-maintained Maintain building security, keys, lock systems, and coordinate rekeying as needed Coordinate property vendors and purchase materials within budget guidelines Enforce use of company purchasing and operational procedures Recommend repairs, capital improvements, and operational enhancements to supervisors Leasing & Resident Relations Market and show apartments while utilizing approved marketing strategies to maintain strong occupancy Respond promptly and professionally to leasing inquiries and resident requests Process rental applications, explain rental criteria, prepare leases and addendums, and ensure compliance with rental policies Review and approve lease documentation for accuracy and completeness Manage move-ins, move-outs, apartment inspections, turnovers, and final account reconciliations Collect rent, monitor delinquent accounts, and serve required notices as necessary Maintain accurate and complete resident files and records Address resident concerns, complaints, and property incidents professionally and discreetly Establish positive resident relationships with a strong focus on resident retention and customer service Represent the company professionally in attire, communication, and demeanor Maintenance & Safety Coordination Coordinate maintenance schedules, emergency on-call rotations, unit turnovers, and vendor work Inspect completed maintenance work and monitor property conditions regularly Respond to emergencies, lockouts, and after-hours issues as required Assist with minor maintenance and cleaning tasks when necessary Maintain a safe work environment and immediately report safety hazards, emergencies, or incidents Promote safety awareness and proper workplace safety practices among staff Team Leadership & Communication Supervise, train, support, and develop on-site staff Delegate responsibilities and monitor staff performance to ensure operational efficiency Maintain professional working relationships with internal teams, vendors, and contractors Communicate effectively with supervisors, maintenance staff, vendors, and other property managers Perform additional duties and special projects as assigned by management Qualifications Minimum 3 years of recent multi-family property management experience required Working knowledge of Fair Housing and Landlord-Tenant laws Experience with AppFolio property management software preferred Experience with Tenant Tech forms program preferred Strong organizational, communication, and problem-solving skills Professional demeanor with strong attention to detail Ability to manage multiple priorities in a fast-paced environment Ability to handle emergencies calmly and professionally Strong computer proficiency including Microsoft Office and property management software Requirements Valid driver's license, reliable transportation, and proof of insurance required Ability to pass Fair Housing testing Availability to work a Tuesday through Saturday schedule Ability to respond to after-hours emergencies as needed Physical Requirements Ability to stand, walk, bend, lift, and work outdoors as needed Ability to lift up to 10 pounds frequently Ability to perform minor maintenance and cleaning duties
