This position requires regular travel and support between both office locations. The Assistant Property Manager will serve as the main point of contact for tenants, providing outstanding customer service by expertly overseeing the tenant side of property management and fully owning the tenancy lifecycle. This role involves supporting the Property Manager while collaborating with support staff and executing duties in line with the organization's policies and relevant laws. Must possess a valid driver's license, reliable transportation, and ability to travel regularly between Portland/Milwaukie and Vancouver-area properties.
Job Responsibilities:
Assist Property Manager with new property onboarding. Input tenant information into the system and issue proper notices for management transition and tenant onboarding. Input approved applicants into the system and prepare rental agreements for signing. Ensure collection of security deposits and tenant charges. Oversee the tenant move-in process by collaborating with all team members involved in the turnover process. Ensure prompt communication with tenants regarding the move-in process, including schedules, financial requirements, insurance, utilities, and other essentials outlined in their approval packet. Ensure utility accounts are transferred to tenants' names and tenant utility billing is correctly configured. Act as the first point of contact for all tenant inquiries. Manage the tenant portal and oversee tenant-related documentation and proper filing. Address tenancy violations, tenant charges, and tenant notices. Collaborate with the Leasing Coordinator and Property Manager on lease renewals and rent increases. Oversee rent collection and follow up on payment arrangements. Issue late notices and assist with delinquency management and eviction coordination. Communicate with tenants regarding notices to vacate and pre-move-out procedures. Collaborate with the Leasing Coordinator on the move-out process and assist with security deposit final accounting and disputes. Undertake special projects and tasks as requested. Meet/exceed individual and contribute to Property Management Department KPIs/metrics.
