Main Office Position Summary The Assistant Portfolio Manager supports the Director of Property Management in overseeing daily operations across multiple multifamily residential communities. This role drives occupancy, manages accounts receivable, minimizes delinquency, and leads leasing and on-site staff to ensure operational consistency, regulatory compliance, and exceptional resident experiences.
Key Responsibilities Team Leadership:
Supervise, mentor, and evaluate leasing agents and support staff; lead team meetings, set performance goals, assist with hiring and onboarding, and conduct performance evaluations.
Leasing & Marketing:
Lead the leasing team to meet occupancy and revenue goals; monitor leasing activity, implement marketing strategies, evaluate market conditions, adjust pricing, and manage online reputation and Fair Housing compliance.
Accounts Receivable:
Manage rent collection, monitor delinquencies, issue non-payment notices, work with residents on payment arrangements, coordinate evictions with legal teams, and maintain accurate resident ledgers.
Financial Reporting:
Support property budgets, review financial KPIs, identify revenue opportunities, prepare AR reports, and assist with monthly close-out and audits.
Resident Relations:
Serve as the escalation point for resident concerns; educate residents on payment options and portal use; promote resident satisfaction and community culture.
Compliance & Risk:
Ensure adherence to Fair Housing laws, landlord/tenant regulations, and safety requirements; oversee audits, file reviews, and risk management protocols.
Maintenance:
Partner with maintenance teams on work orders, unit turns, preventive maintenance, and vendor coordination. Qualifications 3+ years of property management or leasing experience Minimum 1 year of supervisory experience Oregon Property Management License preferred (or ability to obtain within 6 months) Proficient in AppFolio, TenantTech, PropertyMELD, and Microsoft Office Strong knowledge of Oregon landlord/tenant laws and AR best practices Reliable transportation required You're a great fit if you have the following skills: Strong communication skills with the ability to clearly lead teams, resolve resident concerns, and communicate effectively with ownership, vendors, and internal staff. Customer-focused mindset with a proven ability to build positive resident relationships, handle escalations professionally, and enhance overall community experience. Ability to multitask and prioritize in a fast-paced environment , balancing leasing activity, delinquency management, team oversight, and operational deadlines. Highly organized and detail-oriented , with accuracy in financial reporting, lease documentation, compliance audits, and resident account management. Leadership and team development skills , including coaching, performance management, and fostering accountability across multiple sites. Analytical and problem-solving abilities , with the capacity to interpret KPIs, identify trends, and make data-driven decisions to improve occupancy and revenue. Working knowledge of Fair Housing and Oregon landlord-tenant laws , ensuring compliance in all leasing and operational practices.
