This role works closely with Community Association Managers, board members, homeowners, vendors, and Nexova's internal teams. The ideal candidate has direct HOA management experience, strong written communication skills, and the ability to manage multiple time-sensitive responsibilities in a remote work environment. Core Responsibilities Responsibilities include, but are not limited to: Support Community Association Managers with the administrative and operational needs of assigned communities. Respond professionally and promptly to routine inquiries from homeowners, board members, vendors, and other stakeholders. Maintain action-item trackers, annual calendars, resident records, vendor information, contracts, and other association documents. Prepare board meeting agendas, management reports, meeting packets, and follow-up materials. Track board decisions and assigned action items to help ensure timely completion. Coordinate vendor proposals, scheduling, documentation, and follow-up. Assist with work orders, maintenance requests, property inspections, and project tracking. Support the architectural review process by organizing applications, communicating status updates, and maintaining accurate records. Assist with resident account inquiries, delinquency tracking, and collection-related documentation. Support the accounts payable process, including invoice review, coding, approval tracking, and vendor follow-up. Review association documents and community records to ensure information is complete and accurately entered into Nexova's systems. Escalate legal, financial, operational, or resident-related issues to the appropriate Community Association Manager. Collect and organize feedback from homeowners and board members for Nexova's management team. Use Nexova's AI-powered tools and operating systems to improve service quality and operational efficiency. Perform other related duties as assigned. Requirements At least one year of direct experience in community association management, HOA management, property management, or a closely related role. Working knowledge of HOA operations and the respective responsibilities of the Board of Directors, Community Association Manager, and management company. Proficiency with Microsoft Office or Google Workspace, including documents, spreadsheets, email, and calendars. Strong business writing skills with excellent grammar, organization, and attention to detail. Professional verbal and written communication skills. Ability to communicate calmly and professionally when handling homeowner concerns or conflicts. Strong organizational and time-management skills. Ability to prioritize multiple assignments and meet deadlines with limited supervision. Comfortable using mobile applications, cloud-based systems, and AI-powered tools for professional communication and workflow management. Reliable internet access and an appropriate remote working environment. A proactive, collaborative, and community-first mindset. Preferred Qualifications Experience preparing HOA board meeting materials. Experience with vendor coordination, architectural applications, accounts payable, or delinquency tracking. Familiarity with California community association operations. Experience using HOA or property management software. CMCA, CCAM, CAI, or CACM credentials. Associate's or Bachelor's degree.
