POSITION RESPONSIBILITIES
Manage a portfolio of community associations, acting as an advisor and providing support to the Board of Directors, homeowners and vendors Organize and assist in the conduct of regularly scheduled Board meetings by providing 'Board Packets' for use at meetings and attending board meetings (generally in the evening) to provide detailed status of ongoing and future actions Advise the Board on various items including CA Civil Code and the Davis Stirling Act to ensure compliance and liaise between Board and legal counsel to address lawsuits/legal matters involving the HOA Assist with elections, annual disclosures, and quorum requirements Respond to Board e-mails/requests Facilitate an annual calendar, solicit proposals, review proposals/contracts, prepare bid comparisons, review and approve all payables and review monthly and annual financial statements Provide support in the areas of administration, annual meeting preparation, audit & tax filing and budget preparation. Provide guidance to the Financial Manager, Insurance Coordinator, Community Assistant and Maintenance Coordinator, and keep the immediate Director and Senior Management team informed about any areas of concerns Calendar & schedule regular maintenance Develop annual budget to assure properties are well maintained Conduct regular monthly inspections and document the condition of all properties Identify & determine necessary maintenance/repair work to be performed Create a scope of work for bidding projects/repairs, assure vendors are appropriately vetted and bids/estimates are solicited for work, then organize and present to the Board for approval Manage project deadlines, evaluate performance and price of vendors for a well- maintained and efficient property and perform post-project inspections for large repair projects and capital improvement projects Respond to all homeowner inquiries/requests (via email & phone) within 24 hours; typically involving maintenance, repairs, water intrusion emergencies Address task requests by presenting efficient solutions and executing them Assure all information relevant to HOA matters and notices regarding alleged violations are handled in a timely manner Review and decipher HOA governing documents to clarify homeowner questions and help settle minor disputes between homeowners and the HOA Provide leadership and consulting with our clients on best practices regarding the management and oversight of their community. Provide customer service to owners in the communities they serve.
REQUIRED SKILLS, KNOWLEDGE AND ABILITIES
Minimum of 1 year HOA experience, CMCA, CCAM, or PCAM certification preferred High ethical standards, motivated and flexible Ability to work in a fast-paced environment, work well under pressure and adhere to deadlines Customer service focused, must be able to deal with all types of personalities Excellent communication skills Ability to multitask and prioritize Critical thinking & problem-solving skills a must Strong organizational and time management skills Proficient in Microsoft Word, Excel, Outlook and PowerPoint Knowledge of the Davis Stirling Act & CA Civil Code Associates degree minimum / Bachelor's degree preferred Excellent written and verbal communication skills Excellent execution & follow-through Organized and detail-oriented Basic understanding of financials/budgets/ledgers Positive & upbeat attitude Honest Work independently, deliver results Candidate must be professional, confident, and service-driven.
