Position Overview:
The Property Management Assistant will play a critical role in leasing, ensuring smooth communication with tenants, coordinating inspections, and various administrative tasks. This position requires excellent customer service, strong organizational skills, and the ability to multitask in a fast-paced environment .
Key Responsibilities:
Leasing & Lead Management:
Respond promptly to prospective tenant inquiries. Schedule and coordinate property showings, applications, lease signings, and move-ins. Manage leasing leads and tasks within CRM and property management software.
Owner Communication:
Communicate professionally and effectively with property owners via phone, email, and written correspondence. Provide timely follow-up and resolution on owner questions and concerns.
Tenant Communication :
Answer phones, emails, chats, and text messages in a professional and timely manner.
Scheduling & Coordination :
Organize inspections, appointments, and follow-ups.
Administrative Support :
Manage and oversee property management software, scheduling, and business documents .
Errands & Field Work :
Handle post office runs, drop box checks, placing lockboxes on properties, and delivering notices .
Property Listings & Marketing :
Take high-quality property photos , create listings, and assist with social media content creation .
CEO & COO
Support :
Assist with calendars, schedule meetings, and manage daily task organization .
Software & Data Management :
Work efficiently in Google Workspace (Docs, Sheets, Gmail, Calendar) and other property management tools. Willingness to
Travel :
Some nominal travel will be required for property-related tasks. Our management radius extends approximately 1.5 hours from Oklahoma City, with occasional travel to Tulsa, Lawton, Shawnee, Wewoka, and surrounding areas . Mileage reimbursement will be provided for work-related travel.
Qualifications & Skills:
High school diploma or equivalent (No college degree required) Real Estate License Required Customer service experience (Property management experience a plus) Strong written & verbal communication skills Excellent organization, attention to detail, and time management Proficient with email, Google Workspace, and technology forward tools Ability to handle difficult tenants or clients professionally Valid driver's license, clean driving record, and reliable vehicle (Required) Willingness to travel occasionally within a 1.5-hour radius for work-related tasks Able to multitask and work efficiently in a fast-paced environment
Preferred But Not Required:
✔ Experience with property management software ✔ Previous experience in real estate, leasing, or property management ✔ Photography and basic graphic design skills for property marketing
