Property Manager General Job Description The Property Management Process Coordinator supports Excel Development Co., Inc.'s mission of providing safe, stable housing to individuals and families by improving and maintaining operational processes within Excel Property Management (EPM). This position works closely with the Property Manager to support maintenance operations, tenant communication, work order tracking, quality assurance, and administrative process development. The role focuses on coordination, documentation, follow-through, and operational consistency across the department. This position may be fully remote and requires regular communication with EPM Maintenance Technicians, tenants, vendors, and internal staff. Major Duties and Responsibilities Operational Process Support Assist the Property Manager in developing, implementing, and maintaining standardized operational procedures related to: Work orders Maintenance service hours Maintenance communication workflows Documentation practices Help ensure department procedures align with company expectations, compliance requirements, and industry best practices. Monitor implementation of new operational systems, tools, and department processes. Identify workflow inefficiencies and communicate recommendations for improvement to leadership. Work Order & Maintenance Coordination Monitor maintenance workflow systems and service request processes within Rent Manager. Review open work orders and follow up with Maintenance Technicians regarding outdated, incomplete, or overdue items. Track service completion timelines and due dates established by Property Management leadership Maintain accurate electronic records related to maintenance activity, service hours, and work order completion. Receive and document maintenance updates and completed work order calls from Maintenance Technicians. Assist with maintaining organized electronic filing systems and department communication logs. Tenant Outreach & Quality Assurance Conduct routine outreach calls to EPM tenants regarding: Maintenance concerns Building-related issues General service needs Conduct follow-up calls regarding completed work orders to: Confirm work was completed Assess tenant satisfaction Document outcomes in Rent Manager Escalate unresolved maintenance concerns or recurring issues to the Property Manager as appropriate. Maintain professional and respectful communication with tenants at all times. Quality of Life & Administrative Tracking Track and document Quality of Life (QOL) inspection scores using inspection materials provided by the QOL inspector Maintain electronic records of QOL inspections for Property Management review and reporting purposes. Assist with compiling operational data, reports, and department tracking metrics as requested. Support accurate documentation and record retention practices. Additional Responsibilities Participate in meetings, trainings, and process improvement initiatives as assigned. Maintain confidentiality regarding tenant and organizational information. Perform other duties as assigned by supervisor. Routine Contacts Outside of Excel Program participants/tenants Case managers and supervisors Payees and payee agencies Community partners and agencies Vendors and contractors Neighbors and community stakeholders Tenant emergency contacts Other invested parties, as applicable Qualifications The ideal candidate will possess: High school diploma or equivalent required 1+ year of property management, administrative coordination, or operations experience preferred 2+ years experience working within the Mental Health field preferred Experience working within supportive housing, affordable housing, behavioral health, or human services environments preferred Knowledge of affordable housing practices and maintenance coordination preferred Proficiency in Microsoft Office Suite and ability to learn agency software systems, including Rent Manager and emerging technology tools, including AI platforms Strong organizational and documentation skills Strong written and verbal communication skills Ability to manage multiple tasks and follow through independently Strong problem-solving and critical-thinking skills Professionalism and reliability Ability to self-govern and work independently in a remote environment Willingness to learn, accept feedback, and adapt to changing operational needs Commitment to the mission and values of Excel Development Co., Inc.
