GED Full Job Description Position Summary:
A well-established property management firm in NW Austin is seeking a dedicated, customer service-driven individual to join our Association Management Department. This full-time position focuses on supporting homeowners in HOA communities, processing resale certificates, managing financial records, and assisting with various administrative duties for HOA managers. The ideal candidate will be highly organized, able to communicate effectively with homeowners, board members, and vendors, and capable of processing essential financial documents while contributing to overall community management operations. This position offers an excellent entry point to gain experience and growth opportunities within the company, with potential advancement into an Association Manager role as the business expands.
Key Homeowner & Association Management Responsibilities:
Serve as the main point of contact for homeowners, addressing and resolving questions, concerns, and requests regarding their HOA properties. Assist homeowners with processes such as resale certificates, property transfers, and other community-related inquiries. Provide administrative support to managers by helping enforce community rules and guidelines. Coordinate with board members to address community needs, resolve issues, and support management decisions. Attend homeowner, board, and onsite meetings as needed, including occasional evening or weekend meetings. Act as an intermediary between homeowners, board members, vendors, and staff to help resolve issues. Conduct regular property visits to evaluate community issues, assist with work scheduling, and ensure standards are upheld. Assist in hiring and scheduling contractors to maintain and improve community standards. Participate in the company's on-call rotation for after-hours support as needed.
Key Accounting & Administrative Responsibilities:
Process and manage financial transactions, including homeowner payments, billing statements, and late notices. Handle accounts receivable and accounts payable, ensuring accurate coding, invoice processing, and payment posting. Prepare financial documents, including monthly, quarterly, and annual statements, and resolve discrepancies as needed. Communicate effectively with attorneys and vendors regarding delinquent accounts and legal matters. Handle resale certificates, condo questionnaires, and property transfers for various associations. Maintain and update accounting systems, including bank reconciliations, financial statement review, and general ledger management. Ensure accuracy and compliance in association financials, including generating reports and responding to questions related to AR, AP, and GL statements.
Job Qualifications:
Experience in HOA management, customer service, and basic accounting practices strongly preferred. Excellent written and oral communication skills for interacting with homeowners, board members, and vendors. Strong attention to detail and ability to manage multiple projects simultaneously with minimal supervision. Proficiency in Microsoft Excel, Word, and general computer applications. Ability to handle high-volume workloads in a fast-paced environment. Proven critical thinking and problem-solving skills, with a customer-centric approach to issue resolution. Ability to work collaboratively and professionally with both internal teams and external stakeholders. Availability to attend evening and weekend meetings as required.
